We are currently seeking an Assistant Project Manager to join our team. This role is perfect for someone with hands-on experience in construction project administration, a strong understanding of project documentation, and a commitment to delivering projects with excellence.

What You’ll Do:

Project Support & Coordination:

Support the Project Manager and Superintendent to ensure projects are completed on time and within budget.

Organize and manage project documentation to maintain smooth workflow and support project schedules.

Update the project team on the status of project documentation, change orders, and approvals.

Foster strong, positive relationships with ownership, consultants, and project partners.

Documentation & Change Management:

Review project planning and documentation to understand project scope and contractual obligations.

Organize construction plans and specifications, both onsite and in the project document control software.

Manage the change management process by organizing cost changes from subcontractors and suppliers.

Review subcontractor change order requests for legitimacy, detail, and completeness.

Assist in assembling and submitting prime contract change order requests for owner approval.

Submittals & RFIs:

Set up the initial submittal schedule and review it with the Project Manager and Superintendent.

Collect, organize, and submit all required submittal documents to the architect and reviewers for approval.

Pursue and track submittal workflows, ensuring timely responses and distribution to project teams.

Manage the RFI tracking log in the project PM software, produce updated reports, and alert the team of critical cost or schedule impacts.

Payment Applications & Cost Tracking:

Assist in the preparation of monthly payment applications to the owner.

Prepare and review monthly subcontractor payment applications for completeness and accuracy.

Collect and organize vendor invoices for inclusion as back-up to the monthly payment applications.

Review vendor invoices with the Project Manager and Superintendent for approval and cost coding.

Quality Control & Close-Out:

Support the Superintendent with QA/QC of all project installations, ensuring they meet specifications and quality standards.

Collect, organize, and track all project close-out documentation for submission upon completion.

Promote site safety and ensure adherence to all company safety policies.

What You Bring to the Table:

Minimum 3 years of construction project administration experience; multifamily construction experience preferred.

High school diploma or equivalent; college-level coursework in Construction Management or a related field is preferred.

OSHA 10-hour and CPR/First-Aid certifications are a plus.

LEED credentials are a plus.

Valid CA Driver’s License.

Proficiency in Microsoft Word, Excel, Outlook, and construction project management software (e.g., PM Web).

Strong understanding of construction drawings, industry terminology, and project documentation.

Excellent communication, organizational, and analytical skills.

Ability to manage multiple priorities, adapt to changing conditions, and thrive under pressure.

Detail-oriented with strong problem-solving abilities.
