The Administrative Officer is responsible for providing direct administrative support, oversight and organization to several Senior Managers in a professional and efficient manner. Performs a wide range of administrative and office support activities for the departments and managers, some of which are confidential and complex in nature. Individual is multi-skilled with strong operational skills, excellent technical skills with excel and Power Point. Excellent communication is required to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Also responsible for budget tracking, scorecards, and tracking of project, policies and procedures updates.
Responsibilities
Anticipates the needs and applies strategic business thinking to provide administrative support to the senior managers within Loan Operations.
Makes appropriate, informed decisions regarding the senior manager's schedulings.
Manages a complex calendar, scheduling meetings and events using MS Outlook.
Coordinates corporate meetings, departmental functions and detailed travel arrangements.
Develops and prepares reports, diagrams, charts, documents, and presentations for department manager as directed.
Acts as liaison for Loan Operations Business Continuity Plan updates.
Coordinates SOX documentation updates to Internal Audit.
Updates status of original signed documents as received and performs related custodial transfer to the Document Imaging Team.
Supports projects and Committees by preparing project plan and minutes from various meetings and committee, as directed by senior managers.
Coordinates monthly loss/fraud reporting.
Pulls and prepares confidential reports on a monthly basis to update employees’ scorecards.
Prepares budget and variance reports on an ongoing basis along with required presentations.
Processes correspondence, files, records and minutes, and performs other specific duties for management staff.
Coordinates and tracks policies and procedures updates.
Performs simple revisions to policies and procedures under manager’s oversight.
Greets and maintains contact with department visitors and 3rd party-service providers. Serves as first line of communication between Loan Operations visitors and bank while delivering excellent customer service and demonstrate a high degree of professionalism.

Qualifications
College degree or Admin Professional Certificate Is required
5 years plus related experience and/or training; or equivalent combination of education and experience.
Banking experience in the Loan Operations field preferred
Project experience preferred
Expert in Microsoft Excel, Word and Power Point
Excellent written and verbal communication required
Organizational skills and time management a must
Compensation
The base pay range for this position is USD $20.00/Hr. - USD $30.00/Hr. Exact offers will be determined based on job-related knowledge, skills, experience, and location.
