Position Summary:
This position will support the SVP, Prior Authorization, as well as the Prior Authorization department. Provides coordination of administrative functions for the Executive and assists in meeting the needs of all customers and fulfilling the mission of Heritage Provider Network, Regal Medical Group/Lakeside Community Health. The incumbent is responsible for coordinating all meetings, calendars, and travel. Creates forms, documents, and presentations as requested. Is responsible for meeting agendas/minutes as assigned. Prepares expense reports and performs follow-up as needed. Incumbent will assist with data entry and perform other duties as assigned. Provides support for training and development sessions as needed. Maintains all policies and procedures for the organization in an orderly and uniform fashion. Maintains confidential files. Works. This position provides general assistance and supports the SVP's Direct reports, interfaces Executive team, Medical Directors, Management, and all employees, and will assist with special projects and with employee events.
Essential Duties and Responsibilities include the following:
Maintain and coordinate the calendars and meetings for the Senior Vice President of Prior Authorization.
Manage the Sr. VP's incoming phone calls and visitors.
Handle logistics, including travel planning, arranging meetings, project organization, and managing expense reports.
Coordinate with other administrative assistants to provide backup and support for other executives.
Perform clerical tasks such as streamlining and processing paperwork, creating forms, letters, and documents, as well as minimal filing.
Oversee ongoing projects, which includes researching cases where Providers are not listed on authorizations, utilizing Verify/Comply compliance tools, generating reports, verifying the completion of tasks by responsible parties, and facilitating communication among team members.
Develop and maintain working relationships with key personnel and business associates.
Coordinate interactions with other departments, programs, and affiliated companies.
Manage requests from customers, team members, and staff, and develop action plans to address any issues. Keep the Sr. VP updated on critical matters.
Distribute key metrics, news, and information.
Maintain policies, procedures, and guidelines; facilitate access and distribution.
Create forms and documentation, including memos, notices, and drafts of requested policies and procedures.
Provide assistance and mentoring to the Prior Authorization and Denial Compliance staff as needed.
Attend meetings and provide appropriate support as directed by the executive; take on special projects as assigned.
Keep logs of key activities and provide the Sr. VP with updates on assignments, workload, and any elevated issues.
Perform all other duties as directed by management. The pay range for this position at commencement of employment is expected to be between $26 - $27 per hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.
The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.

Education and/or Experience:
Minimum 2 years of experience as an Executive Assistant or Project Manager, preferably in a healthcare setting (Operations, Prior Authorization, Customer Service areas would be ideal.)
Excellent MS Office (Word, PowerPoint, Outlook, and Excel)
