Summary

We are seeking a dynamic and experienced Director of Project Controls to join a Fortune 500 Pharmaceutical Company. In this pivotal role, you will report to the Program Director and lead our Project Controls Program. Your main responsibilities will include tracking, managing, and reporting on the financial performance of capital projects, such as the Tarrytown Campus Expansion Project. Collaborating closely with Program Directors, the Project Management team, and the Project Controls team, you will ensure comprehensive financial oversight on crucial areas of budgeting, forecasting, and spending.

Responsibilities

General Responsibilities:

Lead the tracking of budget, commitments, and spending for all individual projects.

Review comprehensive program and project schedules as required by project management.

Analyze financial data from external sources as needed.

Coordinate with the Tax team to ensure compliance with Sales Tax Exemption Program reporting requirements.

Collaborate with Internal Audit (IA) to fulfill reporting requirements effectively.

Engage with Project Directors, Project Managers, and team members to support key project controls activities.

Provide essential administrative support to Accounting and Finance teams at both program and project levels.

Participate in executive meetings, contributing insights throughout the program lifecycle.

Executive Reporting:

Engage in the executive reporting process and define reporting frequency.

Prepare and distribute Executive Project Controls reports throughout the program lifecycle.

Schedule Review:

Review the Master Program Schedule and individual project schedules.

Participate in schedule review and analysis as necessary.

Funding Tracking and Reporting:

Support the tracking of all funding requests effectively.

Budget Tracking and Reporting:

Oversee tracking of Master Control Budget and project budgets meticulously.

Manage the tracking of budget transfers and updates for Master and project budgets.

Assist the Unifier team with necessary database updates as directed by management.

Commitment Tracking and Reporting:

Ensure accurate tracking of all project commitments, including purchase order and miscellaneous cost tracking.

Work closely with Program Directors and Project Managers to validate new commitments against approved project budgets.

Guide the Unifier team with complex purchase order commitment allocations.

Spend Tracking and Reporting:

Monitor project spending and support updates to Master and project budgets.

Assist the Unifier team with complex purchase order spend allocations.

Sales Tax Tracking and Reporting:

Provide necessary support to the Tax team for tracking and reporting on Sales Tax Exemption Programs.

Internal Audit Monitoring Program Support:

Collaborate with IA and management to provide support and documentation during the monitoring program, creating remediation plans as necessary.

Risk Tracking:

Oversee financial risk tracking by Project Management for all identified project risks throughout the project lifecycle.

Project Close Out:

Support the provision of documentation required to financially close out all individual projects in accordance with Playbook requirements.

Requirements

Bachelor's degree in Accounting, Capital Finance, or a related field.

8+ years of experience in construction financial reporting and project accounting related to construction activities.

Strong presentation skills for high-level project reporting to executive personnel.

Proven ability to manage project requirements on a daily, weekly, and monthly basis, including providing 'Look-Ahead' reports.

In-depth proficiency in Excel, PowerPoint, and financial database systems.

Skillful in creating and updating financial reports and presentations for senior leadership regularly.

Experience with large-scale, multi-year construction projects involving diverse teams and multiple concurrent activities.

Extroverted personality with excellent interpersonal skills and a strong ability to manage a project team.

Self-motivated with a passion for learning new skills.

Terms & Start

Onsite 4 days/week in Westchester County, NY.

Start ASAP.

Salaried consultant position for 12+ months, with opportunities for extension or conversion.
