ADMINISTRATIVE ASSISTANT
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities. Administrative Assistant responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
DUTIES & RESPONSIBILITIES:
Answer and direct phone calls
Assist District Management with general Office Administration, Purchase Order Transactions, Production Reports and Record Keeping
Ordering Office and Shop Supplies
Maintain employee timecards using payroll tracking software for employees within the district
Communicating with vendors on order status and needs
Assist Operations by assembling and saving Customer Packing List Documents, for AR Billing
Schedules and maintains appointments, meetings, and coordinate related arrangements
Operates a personal computer and appropriate software packages
Assist Corporate Accounts Payable and Accounts Receivable with district level transactions
Perform any other duties/projects assigned by Supervisor
QUALIFICATIONS:
High School Diploma or GED accepted
5 years of applicable experience, preferably in a production/machine shop setting
Working knowledge of office equipment, like printers, scanners, and fax machines
Proficiency in Microsoft Office
Excellent time management skills and the ability to prioritize work.
Ability to organize and prioritize tasks and make appropriate decisions
Strong organizational skills with the ability to multi-task
General knowledge of Accounting and Inventory Management Systems preferred
Verbal and written communication skills
