We are seeking an organized and detailed-oriented individual to join our Death Penalty Department (“DP Department”) as an Office Professional 2. The DP Department represents death- sentenced clients in direct appeal, postconviction, federal habeas, clemency, and related legal proceedings. We are comprised of 14 attorneys and three core staff professionals. We emphasize a client-centered, team approach to representation and core administrative staff work closely alongside attorneys, mitigation specialists, fact investigators, and other core administrative staff.
Your Office Professional 2 position plays a key role in client representation by performing clerical tasks and providing office assistance to our department. You will work closely with attorneys on clerical and office tasks, maintain case documentation, records, and filing systems, including digital files and larger physical files. This position reports to the DP Department Program Administrator and receives task assignments from the attorneys in the department.
A successful candidate will be detail oriented, able to work independently, and able to prioritize multiple tasks assigned by multiple people. A successful candidate will be comfortable with intermediate computer user tasks such as copying to external media source files that include audio and video recordings, photographs, Word documents, Excel spreadsheets, or PDF documents. A candidate would enjoy working in a professional and friendly environment that collaborates as a team to achieve the common goal of helping others and providing quality client service.
Duties include but are not limited to:
Obtain and scan trial counsel files and court records. Organize scanned materials within the client’s electronic files.
Prepare electronic copies of department files for transfer to successor counsel.
Gather and maintain data on pending capital-eligible cases.
Review court dockets and make in-person court filings in remote counties. Maintain an accurate record of the physical file boxes stored on site or remotely.
Travels to counties to obtain client or witness signatures, physical records, and other case related items.
Screen, scan, and distribute mail; prepare and postage outgoing mail and correspondence as requested by attorneys.
Submit written or verbal requests to county court reporters, outside counsel, county clerks, and prosecutors.
Coordinate attorney visits to the Department of Rehabilitation and Correction, Department of Youth Services, or other custodial facilities.
The Office Professional 2 position is assigned to the State of Ohio’s OCSEA Pay Range 26 presented below in table format. Starting pay will be at Step 1 unless required by contract/legislation; Candidates with exceptional qualifications may be considered for higher starting pay. Our steps give a standard path for earnings growth: you move to the next step after 4 month and annually thereafter. We typically have fiscal year Cost of Living Adjustments as well.
