Job Description

Rye Country Day School is seeking a full-time Lower School Administrative Assistant beginning August 11, 2025. Rye Country Day School is a coeducational, Prek-12, college preparatory school located in Westchester County, New York dedicated to providing students with an excellent education using both traditional and innovative approaches. Specific responsibilities of the position include:

Working closely with the Lower School Principal and Assistant Principal to ensure smooth operations of the division

Liaising with administration and faculty to ensure all systems and events are executed at the highest caliber, allowing the faculty to focus their attention on high-quality teaching

Building strong relationships with the campus-wide services team to ensure that all functions that liaise with the division (nursing, food service, facilities, transportation) result in high levels of functioning and stakeholder satisfaction

Maintaining a system to prepare for future events, communications, and deadlines

Updating and maintaining accurate Lower School student files, forms, and database information

Scheduling meetings with internal and external constituents

Managing various calendars, including the division calendar

Managing daily division administrative tasks, including but not limited to:

Reporting employee and student attendance, scheduling substitutes, communicating with parents/guardians and employees in person, by email, and by telephone, communicating and supporting all needs for division events and programs, maintaining equipment and supply inventories, submitting purchase and work orders, as needed

Assisting with managing field trips, including coordination support for trip leaders

Managing requests for transcripts and recommendations

Preparing mailings

Preparing, distributing, and managing schedules and resumes for visiting candidates

Managing visitors, including notifying security, preparing schedules, pre-visit communications, welcoming guests, and escorting guests to destinations

Managing student file transfers from the Lower School and to the Middle School, as well as to the archives

Managing Lower School record retention

Assisting with the coordination of after-school programming

Covering the front desk on an as-needed basis

Demonstrated ability to maintain confidentiality and manage sensitive information

Requirements

Bachelor’s degree

Minimum of 3 years of administrative support experience preferred

Proficiency with Microsoft Office and Google Suite products, ZOOM, and student information systems, and a willingness to learn new software and web-based programs

Excellent communication (both written and oral) and organizational skills

Professional and confidential demeanor with all external and internal constituencies

Ability to coordinate multiple projects simultaneously; strong project management skills

A positive, motivated self-starter who can work independently

A well-developed sensitivity, knowledge, and understanding of the diverse backgrounds of community members; a commitment to diversity, equity, and inclusion

Ability to support the extra-curricular and community life of the school
