Risk Management Partners is seeking a proactive, detail-oriented Executive Assistant to support our growing insurance agency in Wheat Ridge, Colorado. Position Summary
The Executive Assistant will support daily operations, team coordination, technology administration, and client service functions across the agency. This individual will play a central role in keeping the agency organized, efficient, and aligned with our cultural values.

Responsibilities
Team Coordination
- Coordinate job postings, interview scheduling, and onboarding logistics
- Track PTO, holidays, and HR documentation
- Schedule and help organize team meetings, events, and training
- Support internal communication and foster a positive, team-centered environment
- Assign tasks to and coordinate communication with VAs based on direction from leadership
Technology Support
- Support EZLynx configuration and troubleshoot basic issues (escalate as needed)
- Coordinate implementation of process improvements in agency platforms
- Assist with team training on new technology features and tools
- Maintain shared password systems
- Organize and manage digital file structure on shared servers
Operations Administration
- Maintain and update job role documentation and task lists
- Track and renew agency licenses and appointments as directed
- Manage incoming/outgoing mail, supplies, and office logistics
- Coordinate operational reporting (e.g., EZLynx, phone metrics) for leadership review
- Monitor client satisfaction indicators and escalate concerns as needed
- Support basic banking tasks (e.g., check deposits)
- Provide phone backup support during team absences
Marketing & Sales Support
- Maintain and update the referral partner database
- Coordinate content scheduling and blog posts as directed
- Support marketing campaign logistics (e.g., postcards, email outreach)
- Assist with client intake and documentation as needed
- Help track and organize internal cross-sell efforts
Carrier Relations
- Coordinate and schedule meetings with carrier partners
- Assist in preparing materials for carrier presentations
- Manage documentation and processing of new carrier appointments
Finance Support
- Assist with data collection and documentation related to commissions
- Coordinate with outsourced accounting team for reporting and reconciliation
Requirements
Qualifications
- 3+ years of insurance office experience
- Strong organizational and communication skills
- Tech-savvy with experience in EZLynx or similar platforms
- Proficient in Microsoft Office and digital tools
- Comfortable managing multiple tasks and prioritizing independently
- Culture-first mindset with a service-driven approach
