About the Role: This role is fully on-site in NY.
Our client is seeking a high-performing Executive Assistant / Mini Chief of Staff to support two Managing Directors and their broader teams. This is a unique role combining executive support, light Chief of Staff responsibilities, operational leadership, and team coordination. You’ll act as a critical partner in driving team efficiency, managing complex calendars and travel, contributing to internal and external communications, and ensuring high-functioning day-to-day operations.

Key Responsibilities:
Executive Support
Provide high-level administrative support to two Managing Directors, including complex calendar management, meeting coordination, and inbox prioritization.
Handle confidential information with discretion and maintain the highest level of professionalism.
Travel & Logistics
Coordinate global and domestic travel, including flights, hotels, itineraries, and expense reports.
Anticipate logistical needs and troubleshoot issues on the fly.
Team Operations & Support
Serve as the operational anchor for the team—ensuring seamless coordination, managing internal workflows, and organizing team meetings, offsites, and events.
Partner with Associates and other staff to create smooth information flow and follow-through on key projects.
Chief of Staff-lite / Project Management
Track follow-ups, manage priorities, and proactively move projects forward across the MDs' initiatives.
Identify and implement process improvements to increase efficiency and communication.
Marketing & Communications
Collaborate with internal stakeholders to support and review marketing collateral, presentations, and communication materials.
Coordinate internal and external messaging on behalf of the MDs as needed.
Qualifications:
5+ years of experience in an Executive Assistant, Project Management, or hybrid Chief of Staff role, preferably in financial services, consulting, or a fast-paced corporate environment.
Based in NYC or surrounding areas; comfortable working hybrid or in-office as needed.
Strong organizational, time management, and multitasking skills with impeccable attention to detail.
Excellent written and verbal communication skills.
Discreet, proactive, resourceful, and thrives under pressure.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Notion, Trello).
