Job Summary

The Maintenance Supervisor reporting to the Community Manager is responsible for overseeing all maintenance activities at the Assigned Property. The Maintenance Supervisor implements and standardizes the quality of services and products used in the maintenance of properties, while providing leadership and technical direction to the Maintenance Technicians.

Essential Job Functions

Assist in the selection of maintenance associates and provide feedback for performance reviews and recommendations for training.

Supervise, train, develop, assign work, and provide technical assistance to maintenance associates as necessary.

Standardize diagnostic approaches used for common maintenance routines, including preventative maintenance and system troubleshooting.

Manage maintenance software program (Yardi) to review work orders, set priorities for work order completion, inventory use, product replacement histories, and scheduled preventative maintenance.

Lead property inspections, including building and alarm system inspections, as well as regular inspections of all common areas for cleanliness and order.

Manage and maintain the company required preventative maintenance schedule.

Maintain and update all Company mandated logs (including but not limited to Refrigerant Freon, Mold/Mildew, Lead Paint, Asbestos Awareness, Elevators, Smoke Alarm, Fire Extinguisher, Lighting, and Property inspections etc.).

Maintain a service schedule for all tools equipment and vehicles owned by the community.

Troubleshoot all property mechanical/maintenance systems, and perform or oversee repairs as necessary.

Establish and implement auditing procedures for maintenance inventory.

Monitor inventory levels, place orders as necessary, while remaining within established inventory budgets.

Provide feedback and recommendations for deferred maintenance, major projects and renovation projects.

Liaise with the Community Manager on a daily basis to update the market ready schedule.

Inspect vacant units, ensuring “make ready” turnovers are completed to standard, within budget and on time.

Prepare and distribute on-call schedule as well as participate and respond to emergencies as needed.

Work with the Community Manager, Director of Maintenance & Construction, and President to review ongoing maintenance issues, contracts and make recommendations for approval.

Manage subcontracted service providers and document timing and work/product quality.

Direct the removal of snow and ice from sidewalks, walkways, steps, and garage ramp.

Ensure that they and the entire community Maintenance Dept. attends and completes all required training.

Manage vendor relationships including but not limited to Landscaping, snow removal, common area cleaning, other mechanical services as needed.

Lead end of day or weekly recap of work order flow with maintenance associates.

Physical Requirements

This job regularly performs work in outside weather conditions, including rain and extreme heat and/or cold, near moving mechanical parts. This job involves exposure to wet and/or humid conditions, vibration and dust.

This job requires the ability to frequently transport up to 60 pounds variable distances, the mobility and flexibility to use required equipment and to access and work in restricted space.

Knowledge, Skills, and Abilities

High School diploma or equivalent experience required.

5+ years of maintenance mechanic experience required, multi-family experience preferred.

3+ years of experience managing a team of maintenance associates.

Knowledge of maintenance software programs and procedures, including inventory control, preventative maintenance, and work order record keeping, Yardi experience preferred.

Knowledge of mechanical systems and equipment including HVAC, landscaping, carpentry, plumbing, painting, hydraulic systems, and electric motors.

Refrigerant Transition and Recovery Certification (Types I and II) preferred.

Proficiency in electrical troubleshooting of high and low voltage and the use of diagnostic equipment, including volt/ohm meters.

Basic proficiency in Microsoft Office including Excel, Outlook, and Word.

Excellent written and verbal communication skills.

Excellent customer service skills demonstrating effective means to resolve inquiries or concerns, ensuring a positive experience for residents.

Strong organizational skills demonstrated through efficient multitasking, prioritization, and meticulous attention to detail to streamline processes and optimize workflow.
