WORK SCHEDULE

Monday through Friday 8:00 am to 5:00 pm

JOB SUMMARY

Provides skilled support to the Human Resources Director, Assistant Human Resources Director and Payroll Coordinator. Manages time and attendance; provides assistance in all aspects of monthly and hourly payroll preparation; manages the hiring and onboarding process for the entire university. Provides excellence in customer service to campus community and other constituents; exercises sound, independent judgment.

RESPONSIBILITIES

Benefit Billing Management

Processes and reconciles benefits premium billing by reviewing carrier invoices, verifying enrollment data, identifying and resolving discrepancies.

Resolves billing issues or concerns with carriers.

Collaborates with Accounts Payable to ensure timely payment of premiums to benefits providers.

Responds to and processes all Employment Verification requests.

Job Postings & Hiring Process

Manages the application process, including preparing job requisitions, posting openings, and pre-screening applications for required qualifications.

Maintains continuous communication with hiring managers and applicants from initial application through completion of the hiring process.

Assists and trains hiring managers in all aspects of the hiring process, including approving job requisitions, managing employment applications and requesting background checks.

New Employee Onboarding

Provides clerical and administrative support to the Human Resources and Payroll offices for recruitment, new hire paperwork, employment orientation, benefits, employee relations, and training.

Acts as the main point of contact for the Human Resources department Corresponds with new hires, adjuncts, staff, and faculty during the onboarding process.

Ensures completion and processing of each stage of the onboarding process and follows up promptly on pending tasks.

Manages background checks for all new employees, volunteers, and annual screenings.

Student Life/Tulsa campus/SNU Lab School liaison for hiring and onboarding.

Record Keeping & Data Entry - Maintains accurate and confidential HR/Payroll files, records, and documentation, ensuring compliance with University policies and state and federal legal requirements.

I-9 Specialist, record keeper.

Processes transfers, promotions, and terminations for payroll.

Coordinates with HR Director and Payroll Coordinator on position set-up, Job Requisitions, and Personnel Action forms.

Creates and runs data reports as requested.

Manages electronic filing with periodic clean up tasks.

Assists employees with timesheets, leave requests, and accruals.

Assists with the processing of payroll with the goal of being fully cross trained.

Assists with HR/Payroll data entry.

Demonstrates knowledge of University HR/Payroll Policies and correctly interprets policies and procedures to the campus community.

Participates in continuing education as opportunities arise.

Other duties as assigned

Qualifications

Required Qualifications:

Associate’s degree or equivalent work experience (3-5 years professional level experience in Human Resources)

A combination of education, experience, and training that would produce the required knowledge and abilities may be considered.

Ability to maintain strict confidentiality with employee records and information.

The ability to read, comprehend, and disseminate campus policies and procedures.

Strong attention to detail and commitment to accuracy in the entry of data.

Ability to manage multiple priorities and deadlines.

Proficiency in Microsoft Word and Excel.

Strong math and computational skills.

Proven track record of learning new skills and processes.

Strong communication skills, demonstrating exceptional clarity and professionalism in written, verbal and telephone communications.

Strong interpersonal skills and emotional intelligence.

Willingness to work and assist in an interactive team environment.

Preferred Qualifications:

Bachelor’s degree in human resources, accounting, business or related area, or equivalent work experience.

Previous Human Resources experience.

Proficiency in HRIS and payroll software, such as Paycom.

Supervision Received:

Receives supervision and work assignments from the Human Resources Director, although other staff members in the unit may provide work direction.

Supervision Exercised:

May be responsible for the coordination of work assignments for student employees.
