Job Summary:
Gerald Group is seeking a Payroll Administrator to join our team. The Payroll Administrator will oversee all aspects of our Stamford, CT payroll operations. This role will ensure timely, accurate, and compliant payroll processing for all employees across multiple states, including federal, state, and local tax regulations. The ideal candidate will possess a strong understanding of payroll processes and employment laws while ensuring payroll operations are efficient and accurate. The Payroll Administrator also compiles and records the payroll transactions in the accounting GL system, is responsible for accurately tracking employees’ time off accruals, and balances and reconciles the payroll bank account on a monthly basis.
Responsibilities:
Maintains and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, taxes, garnishments, and other earnings/deductions.
Ensures accurate and timely processing of payroll updates including new hires, rehires, promotions, terminations, leaves of absence, and changes to pay rates.
Calculates and prepares manual checks and adjusts payroll files accordingly.
Notifies Treasury Department of biweekly payroll wire transfer amounts.
Ensures compliance with federal, state, and local payroll, wage and hour laws, and best practices.
Prepares and maintains accurate records and reports of payroll transactions and electronic payroll files.
Ensure timely filing of tax documents (e.g., 941, 940, W-2s, W-3s, etc.) and ensure proper record-keeping of payroll information.
Facilitates audits by providing records and documentation requested by auditors.
Coordinates health, life, and disability insurance payroll deductions for staff members; reviews insurance invoices for accuracy and reconciles for employee changes.
Identifies and recommends updates to payroll processing software, systems, and procedures.
Provide General Ledger support in preparing and posting journal entries and preparing detailed compensation categories breakdowns.
Reconciles payroll bank account on a monthly basis and produces the monthly bank reconciliation analysis report.
Reconciles quarterly payroll reports.
Complete year-end functions for processing and reconciliation of W-2’s.
Assist in processing invoices, disbursements and reconciliations.
Manages paid time off balances and accruals in accordance with company policy; provides daily attendance tracking reports, and updates individual time off via calendars.
Answers employee payroll and time off questions.
Writes and maintains standard operating procedures.
Runs ADP reports as needed.
Serves as backup for HR and Benefits Administrator handling employee inquiries, biweekly 401k, HSA, and FSA file loading, and pulling reports.
Perform other duties as requested or assigned.
Requirements:
Bachelor's Degree in Accounting, Business Administration, Human Resources, or related field preferred.
Minimum of 5 years payroll experience.
Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes required.
Knowledge of wage and hour laws and how it pertains to payroll is required.
Proficient with payroll software, ADP Workforce Now experience strongly preferred.
Excellent organizational skills and attention to detail.
Strong MS Office skills with advanced excel proficiency required.
Enhanced verbal and interpersonal communications skills.
Strong analytical and problem-solving skills.
Ability to keep information confidential.
Ability to work independently and in a team-oriented environment.
Accounting experience strongly preferred.
Ability to work in-office Monday through Friday.
