Position Type: Full-Time, Non-Exempt

Pay Rate: $16.00 per hour

Hours: 8am-4:30pm M-F; 30-minute unpaid lunch break

Location: Melbourne, FL 32901

Job Duties/Responsibilities:

Update and maintain all records for supervision clients including receipts, releases, FDLE responses and MVR records updates, RRI psychometric instrument, incident reports and drug and alcohol test documentation. Maintenance of computer program files for supervision clients (FSC computer and DHSMV).

Coordinate appointment needs with Scheduling Supervisor, entering Evaluators schedule in CompMan as needed to ensure clients maintain compliance of appointment frequency requirements.

Interview SSS Program applicants, including pre-screening, schedule initial evaluation appointments for all supervision clients, staffing pre-screen with Systems Coordinator.

Completes MVR checks for SSS program, as needed.

Completes FDLE checks for SSS program, as needed.

Assist Registration Department with scheduling and periodic updates.

Request client paid fees via letter and then request FDLE and MVR records.

Fax approval and cancellation letters to appropriate DHSMV office and send certified letters to clients regarding disposition.

Update Client Tracking Form to reflect data sent to DHSMV.

Attend monthly Tuesday staffing and assist with computer/data entry.

Send certified letters to client when missed appointments occur.

Ensure CompMan records are up to date and all client correspondence is documented in tracker.

Keep Chief Clinical Supervisor aware of applicant status, client’s failure to pay fees, make appointments, or positive/diluted drug screens.

Maintain a system to randomly send clients for drug screens.

Ensure files for outer offices are logged out in time for scheduled appointments, and ensure files are logged back into Orlando office.

Do Quality Assurance checks to ensure releases of information are up to date, current telephone number, address, emergency contacts are correct and that each client has an active case management plan.

Enters and maintains financial transactions in CARS and CompMan for SSS, as needed.

Ensure that the DUI Program File room doors are locked when departing for the evening and weeknights after 5:00pm closure.

Primary contact for all IID Program inquiries from the DHSMV, clients, vendors, and/or coworkers.

Communicate all compliance and non-compliance of FSC IID clients to DHSMV.

Receives notification from DHSMV regarding client specific violations, documenting violation status in files and confirming status when in question.

Tracks violation status and compliance of IID clients in Brevard County: scheduling, rescheduling, attending, and making payments. Report non-compliance to the DUI Director monthly. Ensure all applicable fees are posted to Compliance Manager.

Maintains current copies of IID case management templates, and treatment referral documents.

Prepares new files and maintains existing IID files (both hard copy and electronic). Assists CSRs in enrolling new IID clients, and out-of-state clients needing to enroll in FSC’s IID services.

Ensure treatment referrals are completed for IID Third Violators. Processes correspondence and tracks compliance of the same, and reporting completion of treatment within one business day of treatment verification.

Assists Evaluators, Clinical Supervisor(s), and support staff involved with IID clients, to ensure proper level of services are provided in a timely and accurate fashion.Required Skills/Abilities:

Excellent computer skills with proficiency in Word, Excel, and data entry

Excellent communication and organizational skills

Strong attention to detail

Education and Experience:

High school graduate or equivalent

AA or AS Degree or 5 years experience in Administration Management preferred

Physical Requirements:

Requires sitting, standing, bending and reaching.

May require lifting up to 25 pounds.

Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone and other office equipment.

Requires normal range of hearing and vision.

Interaction primarily with clients and co-workers.
