About Quality Department Associate role:

The Quality Department Associate is responsible for supporting the Quality Department with the execution of quality throughout Donor Network of Arizona (DNA). This includes and is not limited to general administrative support, donor record document administration, computer data input, and coordination of document distribution with affiliated tissue partners. This position is responsible for adhering to all established standard operating procedures, federal, state, and industry regulations.

Job Duties:

Assists Quality Department Leadership by providing administrative support to the Director, Manager and to the Quality Systems and Quality Assurance departments, in achieving and maintaining compliance with all regulatory standards and industry driven accreditations.

Keeps current with standards and regulations that relate to Quality, Organ, Ocular, and Tissue Services.

Assists Quality Department Leadership in preparing and sending electronic written correspondence, as needed.

Files paper and electronic documents as required.

Maintains confidentiality of all donor and recipient information.

Assists the Quality Assurance Department in the execution of the quality assurance process.

Uploads and disseminates information and documentation received after the completed QA process to ensure all applicable parties are notified.

Performs verification of NOK information and authorization documentation and collaborates with other departments to assist in facilitating distribution of authorization documentation to donor families.

Data entry of donor culture results into the appropriate software application.

Assists in distribution of donor chart documentation to external agencies.

Assists in scanning and uploading of donor medical record documentation.

Assists in monitoring the receipt status of pending information that is needed from external agencies, such as donor dispositions, culture reports, etc.[AM1]

Assists the Quality Department in the execution of quality systems processes.

Maintains a current archive of regulatory certificates of vendors / partners affiliated with DNA.

Assists Quality Department management to ensure that DNA’s current regulatory certificates are posted on internal and external websites.

Assist with the DNA Quality Improvement Process – PDSA, implementation and/or improvement of quality systems and quality assurance processes.

Assists in ensuring that the organization’s PDSA outlines are current.

Assists in requesting progress updates from PDSA leaders, facilitators and team members.

Assists in maintaining the PDSA tracking mechanism.

Assists with donor medical records.

Assists with the storage, retrieval and return of files stored at off-site locations.

Provides back-up support to the DNA Receptionist, as requested.

May perform other related duties as required to meet the ongoing needs of the organization.

Qualifications:

Minimum Education

High School diploma or equivalent required.

Minimum Experience

1 Year of intermediate level computer experience with Microsoft Word / Excel / Outlook

Strong organizational skills required.

Preferred Education

Associate’s degree in a related field and/or equivalent combination of work experience and training strongly preferred.

Preferred Experience

Knowledge of diseases and medical terminology is preferred.

Experience with health information management and electronic medical records systems preferred.

Quality Systems / Quality Assurance / Quality Control experience preferred.

Proficiency in the use of computer equipment and software, including but not limited to, Windows environment (Word, Excel, Outlook – Intermediate to Advanced skills) required. Strong word processing database skills. Ability to perform data entry and audit.

Strong interpersonal skills and ability to work both independently and as part of a team required.Additional Information
