POSITION DESCRIPTION

Title: Regional Assistant Operations Director

Reports to: Vice President of Operations

Full-time- Exempt position

Primary Function: Assistant Director of Operations at a Boys & Girls Club plays a crucial role in managing club operations related to programs, safety, facilities, staff development, and budget management. They work closely with the Director of Operations to ensure the smooth functioning of various sites within the organization.

Essential job responsibilities:.

Safety and Compliance: Ensuring safety protocols are followed, emergency procedures are in place, and compliance with regulations.

Program-related reporting, Data Entry and Evaluation

Responsible for strategy and evaluation of Regional Programs

Assist VPO and Board Safety Committee with BGCA safety requirements

Supervision and Safety: oversee program activities, ensuring a safe environment for children. This includes monitoring indoor and outdoor spaces, addressing safety concerns, and promptly correcting any hazards.

Emergency Preparedness: Safety Coordinators develop and implement emergency procedures, such as evacuation plans, first aid protocols, and disaster response. Train staff on safety protocols.

Training and Compliance: provide instruction to staff and volunteers on safety policies, child protection, and emergency response. Ensure compliance with local, state, and national BGCA safety regulations.

Risk Assessment: Regularly assessing risks within the facility and during activities is crucial. Identify potential hazards and take preventive measures.

Budget and Finance: assisting with budget development, monitoring expenses, and resource allocation.

Facilities Management: Supervising facility maintenance, cleanliness, and security.

Community Engagement: Building relationships with parents, schools, and community partners.

Ensure all Clubs are compliant with all organizational safety standards.

Assist Site Directors in effective management of staff performance and coaching. Also, assist staff in effective management of child and/or parent disciplinary matters.

Develop collaborative partnerships with caregivers, public and civic groups, as well as social agencies and local governments. Represent the organization and interpret club objectives and programs for the community at large.

Staff Supervision: Assisting with managing and mentoring program staff, including training, performance evaluations, and professional development.

RELATIONSHIPS:

Internal:

Maintains close contact with club staff (professional and volunteer) and administrative office staff to receive/provide information, discuss issues, explain or interpret guidelines/instructions, instruct, and advise/counsel.

External: Builds relationships and maintains contact as needed with external community groups, agencies, schools, and others to network, collaborate, and/or assist in resolving problems.

PROGRAM/UNITS FUNCTIONS

Supervise programming for all units, including but not limited to:

Lead and direct Regional Program Team Staff for successful execution of annual program goals and tracking of desired outcomes.

Manage Region Food Service

Responsible for all Regional non-BGCA Programs and Events

Responsible for regional program partner relationships

Promoting and stimulating interest in the club activities and special events (those events and activities beyond regular hours of operation and outside normal program activities).

Evaluate activities and programs on a regular basis to ensure they are meeting program objectives

Coordinate and organize all activities and programs that involve multiple club locations. Interclub events include, but are not limited to, any sports, camps, holiday activities, special events, and National Boys & Girls Club Week.

Plan and coordinate all interclub activities involving group clubs, such as Sports Camps, Keystone Trips, etc.

Provide leadership and coordination for any BGCA conference attendance by our staff or club members.

Ensure all clubs are compliant with all organizational safety standards.

PERSONNEL FUNCTIONS

Assist the Ops Director in the implementation of organizational policies, goals, program initiatives, and marketing campaigns.

Supervise personnel as outlined in the organizational chart.

Assist the Ops Manager with interviewing, selecting, orientation, and in-service of program staff.

Assist with the recruiting, training, and directing of volunteers.

PROPERTY FUNCTIONS

As required, collect and compile equipment and supply lists from local Club Directors.

Requisition supplies and equipment for programs.

Assist the CEO & VP of Ops in performing periodic inventories of all equipment and program supplies.

Safeguard Club equipment and program supplies.

Conduct building evacuations of club members on a regular basis.

ADMINISTRATIVE

Prepare and maintain program statistics and related reports.

Report all injuries of members, volunteers, and staff members to the CEO within 24 hours of occurrence.

Other such duties may be assigned by the Ops Director.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

Inside the average office environment. Average office noise levels. No personal protective equipment is required. Ambient temperature between 68 and 76F. Travel to Club sites is required, as is some outdoor activity. Mileage reimbursement provided for travel outside assigned counties.

SKILLS/KNOWLEDGE REQUIRED:

Bachelors degree from an accredited college or university, or equivalent experience.

A minimum of two years work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people is preferred.

Thorough knowledge of youth development theory.

Demonstrated ability in working with Boards and community groups.

Demonstrated ability in personnel supervision and the recruitment and retention of key personnel.

Demonstrated computer competency.

Strong, professional communication skills, both verbal and written.

Ability to recruit, train, supervise, and motivate staff.

Ability to deal effectively with members' discipline problems as well as parents of members.

Working knowledge of budget preparation, control, and management.

Strong organizational/time management skills with the ability to work unsupervised and to be a self-motivated problem solver. Must be able to drive and have access to a personal vehicle.

Must be available to work evening hours and travel out of town for training and other events as necessary.

First Aid and CPR: Having knowledge of first aid and CPR is essential.
