Position Summary:
The Scheduler/Recruiter is a vital part of the operations team, responsible for coordinating caregiver schedules to meet client care needs while recruiting, screening, and onboarding qualified caregivers. This dual-role position requires strong organizational skills, a people-first mindset, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
Scheduling:
Create and manage daily/weekly caregiver schedules using SwyftOps or similar scheduling software
Match caregivers with clients based on skill level, availability, and personality fit
Maintain consistent communication with caregivers and clients to ensure shifts are covered and service is uninterrupted
Respond quickly to call-outs, shift changes, and emergency staffing needs
Track and monitor caregiver attendance and time-off requests
Recruiting:
Lead full-cycle recruitment efforts for caregiver positions, including sourcing, screening, interviewing, and hiring
Post job ads across relevant platforms, job boards, and local channels
Partner with Office Manager to support onboarding, training, and retention strategies
Ensure all new hires meet state licensure, training, and background check requirements
Maintain an active pipeline of qualified caregivers to meet client demand
Administrative & Compliance:
Maintain accurate caregiver and client records in accordance with HIPAA and state regulations
Support compliance audits and ensure all employee files are up to date
Contribute to staff retention initiatives and assist with employee engagement activities
Assist with marketing events or job fairs, as needed
Qualifications:
2+ years of experience in scheduling, staffing, or healthcare recruitment preferred
Experience in home care or senior services industry is a strong plus
Familiarity with scheduling software (e.g., SwyftOps, ClearCare) and applicant tracking systems
Excellent communication, problem-solving, and organizational skills
Ability to multitask and respond to urgent needs with professionalism
High school diploma or equivalent required; associate or bachelor’s degree preferred
