We are seeking a highly organized and service-driven Administrative Assistant to join our team in support of our Executive Leadership Team. This dynamic and highly visible role is based at our company headquarters and plays a key part in ensuring the efficiency and success of daily executive operations. What You'll Do:

As an Administrative Assistant, you will be responsible for providing exceptional administrative and operational support to our executive team. You will leverage your organizational skills, discretion, and multitasking ability to manage a wide range of confidential and time-sensitive responsibilities, including:

Provide comprehensive administrative support to executive leadership to ensure efficient daily operations.

Draft, edit, and format a variety of business communications and materials, including letters, reports, memos, presentations, meeting agendas, and agreements.

Managing document organization and file systems—both electronic and physical—in accordance with company standards.

Prioritizing tasks, tracking deadlines, and proactively following up to ensure timely completion of assignments and deliverables.

Coordinating and maintaining calendars, meetings, and travel arrangements for senior executives.

Serving as a point of contact between the executive office and internal/external stakeholders, ensuring professional communication and confidentiality.

Organizing and planning large-scale meetings and events, including agenda preparation, venue coordination, travel logistics, and follow-up.

Preparing conference registrations, travel itineraries, and supporting materials.

Maintaining accurate contact records and notes in Outlook, OneNote, and mobile devices.

Supporting expense and vendor invoice processing, including credit card reconciliations and some entry-level accounting tasks as assigned.

Answering and screening incoming calls and appointment requests; providing backup coverage for the front desk Receptionist.

Assisting with archive filing, research, and other administrative projects as needed.

Tracking company vehicle usage, scheduling maintenance, and maintaining related records.

Upholding the highest level of discretion and confidentiality in handling company information and business matters.

What You'll Bring:

A successful candidate will have proven experience as a key administrative partner to an executive leadership team with demonstrated ability in developing collaborative relationships across the organization. This administrative partner must have the passion, energy, and intellectual curiosity necessary for a fast-paced, on-demand environment, and be able to employ forward thinking to anticipate and expeditiously execute tasks. Specific requirements include:

Proven administrative experience, or a combination of education and relevant experience that demonstrates the skills required for this role.

High level of integrity, professionalism, and discretion with confidential information.

Strong understanding of business terminology and professional standards, with exceptional skills in proofreading, document organization, and file management.

Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, OneNote).

Excellent communication and interpersonal skills; able to build trust across all levels.

Self-starter with a hands-on, proactive approach and strong attention to detail.

Outstanding multi-tasking and time-management abilities, able to juggle competing priorities in a fast-paced, dynamic environment

Notary Public certification is a plus, but not required.
