Burlingame, CA 94010 – Onsite

Shift: Day 5x8-Hour (08:00 - 17:00)

SUMMARY:

We are seeking an experienced and professional Executive Assistant to provide comprehensive, high-level administrative support to senior leadership. This role requires independent judgment, discretion, and a proactive approach to managing schedules, coordinating communications, and supporting strategic priorities. The ideal candidate is organized, resourceful, and capable of handling a variety of confidential and time-sensitive tasks

KEY RESPONSIBILITIES:

Deliver specialized administrative support to executive leadership including calendar management, meeting logistics, and communications

Coordinate complex scheduling needs, travel arrangements, and events logistics

Screen calls, emails, and incoming requests; prioritize and handle inquiries with professionalism

Draft, edit, and format documents including memos, reports, presentations, and internal communications

Attend meetings, take detailed notes, and track follow-up items to ensure timely completion

Develop and maintain databases, records, and filing systems

Act as department timekeeper and support payroll/timekeeping system entries when needed

Ensure smooth communication and coordination within and between departments

Handle sensitive information with a high degree of confidentiality and discretion

QUALIFICATIONS:

Required Qualifications:

Minimum of 5 years of recent experience supporting executive-level leadership

Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams, etc.)

Proven ability to manage multiple competing priorities in a fast-paced environment

Strong written and verbal communication skills

High level of professionalism and discretion when handling confidential information

Strong organizational, problem-solving, and decision-making skills

Experience with administrative tools, scheduling software, and timekeeping platforms

Preferred Qualifications:

Previous experience in a large corporate or healthcare environment

Familiarity with Workday or similar enterprise resource systems
