A successful national firm is seeking an experienced and strategic Executive Assistant to support the new CEO. Looking for an Executive Assistant who can be a business partner in driving organizational efficiency and strategic initiatives. The ideal candidate will possess exceptional project management skills, emotional intelligence, and the ability to manage both professional and personal tasks to optimize the CEO's effectiveness. The role is hybrid-4 days in office, 1 day working remotely. Looking for a collaborative mindset and someone who will have a positive impact on the company culture. The EA will have their own office adjacent to the CEO. There are 35o employees at the Westminster Headquarters. The CEO is in the process of lifting up the culture of the company to create a positive atmosphere.
About the Job:
Act as a thought partner to the CEO, contributing to strategic planning, decision-making processes, and execution of corporate initiatives
Serve as the primary point of contact between the CEO and internal/external stakeholders, managing communications with discretion and professionalism.
Organize company events, off-sites, and executive meetings, handling logistics to ensure seamless execution
Vet and prioritize the CEO’s emails and draft responses
Prepare and edit correspondence, reports, and presentations
Create Board decks in PowerPoint for quarterly meetings
Prepare agendas, and ensure the CEO is well-prepared for meetings and events.
Create investor presentations, board materials, and other high-level documents
Lead and coordinate projects, ensuring timely completion
Vet emails and compose responses on the CEO’s behalf
Facilitates seamless communication across departments, ensuring the CEO's directives and organizational objectives are clearly conveyed and understood.
Proofread and edit material
Manage up: be the liaison with team leaders
Handle confidential and sensitive information with discretion
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Proactively manage daily calendar, identifying and mitigation potential conflicts
Assist with personal errands and scheduling when needed
Ad hoc projects as needed
Some off-hour availability when the CEO is traveling
About You:
Minimum of 10 years of experience in executive support roles, with at least 5 years supporting C-suite executives
BA/BS from a college or university preferred
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Dynamic and proactive comfortable in a fast-paced environment
Polished, professional demeanor
Strong interpersonal skills with the ability to build relationships across all levels of the organization
Outstanding communication skills
High level of discretion and confidentiality
