Office Manager – Full Time
Introduction
A multiemployer union health and welfare fund, providing health benefits to members of local union and their dependents, is currently seeking a qualified Office Manager to work on a full-time basis.
Responsibilities
· General office duties: calls, mailings, filings, emails, faxes, drafting letters, maintaining office equipment, and maintaining personnel files
· Preparing meeting materials, including, but not limited to, preparing and sending notices and meeting agendas, creating and maintaining meeting folders
· Assisting in the preparation, drafting, and finalizing of meeting minutes for Board of Trustees meetings
· Managing and utilizing the Health and Welfare Fund’s proprietary software
· Coordinating and assisting the Administrative Manager with the handling of insurance claims
· Providing guidance and support to participants regarding benefits inquiries and issues, ensuring a high level of customer service
· Ensuring compliance with applicable government regulations and reporting, including ERISA, ACA, FMLA, and HIPAA.
· Managing annual open enrollment, including updating benefit guides, SBCs, and required notices
· Bookkeeping duties: handling accounts receivable and accounts payable, and handling payroll for employees
Job Requirements
Work Experience
Prior office experience in the above-described duties is essential.
Educational Background
High school diploma or equivalent required
Associate’s degree or bachelor’s degree preferred
Specific Skills or Credentials
Computer proficiency and technical aptitude with the ability to use Microsoft products, including Word, Outlook, Teams, and PowerPoint.
Experience and proficiency with QuickBooks.
Proven ability to work effectively in a team environment.
Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
Excellent verbal and written communication and organization skills.
Self-motivated and able to work independently.
Salary, Benefits, and Application Instructions
This is a full-time position with an hourly wage of $22.00 to $26.00. The position also offers fully paid health insurance and the ability to participate in the employer’s 401(k) Plan.
