Position Summary:
Our client is seeking an Executive Assistant who will partner closely with senior leadership, including Partners and Vice Presidents, to deliver high-level administrative and case-related assistance. This role also involves collaboration with fellow EAs and stepping in to provide support as needed.
The ideal candidate will have consulting or law firm experience.
Key Responsibilities:
Offers proactive and personalized administrative and case support to assigned Partners.
Oversees the scheduling and organization of internal and external meetings for Partners, ensuring efficient use of time and resources.
Organizes conference rooms and related logistics. Supports the preparation of meeting materials such as agendas, slide decks, correspondence, briefing documents, and may take notes during meetings.
Plans and books travel through designated travel agents as well as handles itinerary updates, adjustments, and cancellations.
Collaborates with Partners and the finance team to draft, review, finalize, and distribute client invoices, ensuring adherence to client-specific billing guidelines.
Prepares and submits expense reports on behalf of assigned Partners.
Updates and organizes both business and personal contact information for Partners.
Maintains both digital and physical filing systems for easy retrieval and archival.
Composes, edits, formats, and transcribes various written materials, including emails, letters, memos, presentations, bios, and meeting documentation.
Works cooperatively with EA colleagues, provides reliable backup support
Maintains confidentiality and acts with integrity and accountability.
Anticipates needs and identifies potential challenges before they arise, taking steps to address them early.
Qualifications:
Bachelor’s degree is preferred.
At least 5 years of relevant administrative experience is required; 5–10 years strongly preferred.
Experience in a professional services environment is advantageous.
Prior support of multiple senior executives is beneficial.
Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, OneNote, Teams) is highly desirable.
