We are looking for a highly organized and proactive Program Administrator to support our fast-growing company and the expansion of partnership and R&D activities in the Columbus Office. This position requires a dynamic professional who can efficiently manage office, laboratory, and partnership operations/relations while providing high-level administrative and professional support to executives, Directors, and Partners-in-residence at Columbus. The ideal candidate will have exceptional ability to work on various projects, exhibit strong communication skills, and keen attention to detail to ensure seamless daily operations and administrative support.

Required Qualifications

Bachelor’s degree in Business Administration, Management, or other professional field preferred.

5+ years of experience as a Program Administrator, Project Manager, Office Manager, or similar role in a corporate atmosphere.

Strong problem-solving skills and ability to anticipate upcoming office and administrative needs.

Ability to work independently and collaboratively with all levels within the organization and external stakeholders.

Strong organizational and time-management skills, with the ability to multitask in a fast-paced environment.

Experience managing confidential and sensitive information with discretion.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint).

Preferred Qualifications

A PMP certification is strongly preferred.

Job Responsibilities

Office Management

Oversee daily office operations, ensuring a well-organized and efficient work environment.

Manage office supplies, subscriptions, vendor relationships and facility maintenance.

Manage facility-related invoicing (parking, cable etc.) and maintenance issues.

Plan and coordinate office events, team meetings, and employee engagement activities.

Act as a point of contact for office-related inquiries and external stakeholders.

Provide high-level administrative support to C-suite executives, including managing schedules making travel arrangements and reimbursing expenses as needed.

Assist in coordinating meetings such as all hands, board meetings, and investor meetings.

Set-up of virtual offices, mail management and office equipment.

Act as a liaison between executives and internal/external stakeholders, ensuring smooth communication and follow-up.

Assist with onboarding of new hires, managing office space and logistics (IT set up, stationary, swag etc.).

Support special projects, corporate initiatives, and cross-functional team collaborations as needed.

Assist in coordinating events, conferences, and industry engagements attended by the executive team.

Project Management

Track and communicate team projects and their progress from ideation to completion

Work with CTO and various project managers to set and communicate priority levels, timelines, key milestones, and deadlines

Ensure consistent and effective communication between managers and executive team

Laboratory Financial and Reporting Management

Manage and communicate laboratory budget

Manage and coordinate client data reporting

Manage facility-related billing and invoicing

Partnership Coordination/Management

Coordinate Koloma attendance and schedule

Coordinate Laboratory tours and reviews

Coordinate Safety Briefings and PPE

Develop/standardize Koloma Labs marketing materials

Work with PR/GR team to coordinate public-facing communication

Develop/standardize Koloma Labs T&Cs

Coordinate travel and lodging

Manage visitor calendar

Coordinate meals and social gatherings
