Reports To: Chief Executive Officer (CEO)

Supports: Chief Finance/Operations Officer (CFO) and Chief Program Officer (CPO)

Compensation: $50-55k

Location: New Rochelle, NY

Position Overview

The Executive Assistant will provide comprehensive administrative support to the CEO, CFOO, CPO and staff to ensure all daily operations run smoothly and efficiently.

Key Responsibilities

Provide administrative and clerical support to executive leadership, including preparation of donor materials, grants, presentations, and board reports

Answer phones, provide information, and greet visitors with professionalism

Coordinate meetings, prepare agendas and minutes, and arrange travel as needed

Maintain organizational calendar and coordinate activities and events

Process incoming and outgoing mail

Monitor and order office supplies

Maintain accurate electronic and hard copy filing systems

Operate and troubleshoot office equipment

Manage equipment service contracts and maintenance

Coordinate office space utilization

Additional Responsibilities

Liaise with program directors to provide support as needed

Assist with event planning and communications

Other duties as assigned

Qualifications

High school diploma minimum; background in business administration preferred

Several years of experience in administrative support roles

Spanish bilingual skills would be a huger plus

Excellent written and verbal communication abilities

Strong customer service orientation

Effective time management and prioritization skills
