Position Overview
The Executive Assistant will provide high-level administrative support to a private family office and assist the management team. This dynamic role requires exceptional organizational skills, discretion, and the ability to manage diverse tasks in a fast-paced, private office setting.
Responsibilities
Serve as a trusted gatekeeper, managing highly sensitive and confidential information with discretion.
Oversee the principal's calendar, coordinating complex schedules, meetings, and personal appointments.
Arrange domestic and international travel, including family trips, ensuring seamless logistics and itineraries.
Act as a liaison between the principal, management team, and household staff, ensuring communication and tasks align with priorities.
Manage personal tasks, including coordinating family events, correspondence, and private appointments.
Prepare and organize documents, reports, and communications
Coordinate special projects, both personal and professional, and oversee their successful execution.
Handle personal errands, including managing household needs, scheduling maintenance, and coordinating vendor services.
Attend management and family meetings, take minutes, and distribute actionable follow-ups.
Maintain and update Standard Operating Procedures for the family office.
Ensure records, contact lists, and relevant personal and professional documents are organized and up-to-date.
Qualifications
Bachelor's Degree preferred
At least 5 years of executive or personal assistant experience, preferably within a private office or high-net-worth (HNW) family setting.
Impeccable attention to detail and strong problem-solving skills.
Exceptional time management and the ability to prioritize competing demands.
Tech-savvy with proficiency in Microsoft Office Suite, Excel, Adobe Acrobat Pro, Zoom, and other relevant tools.
Strong interpersonal skills with a positive, proactive approach to problem-solving.
Ability to maintain composure under pressure and handle shifting priorities.
Valid U.S. work authorization and a valid driver's license.
