Job Overview

We’re a growing small business looking for a reliable, adaptable, and people-savvy individual who can wear many hats—with a particular focus on Human Resources and administrative support. In this trusted, hands-on role, you will work directly with the leadership and team members across functions to ensure smooth administrative and HR operations

This is a part-time, non-exempt, on-site position with a flexible schedule (20–25 hours per week) within standard office hours (8:00 AM – 5:00 PM). The ideal candidate is a detail-oriented self-starter with integrity, initiative, and a willingness to take on a variety of tasks.

Corporate Secretary/Finance Admin

Location & Schedule

· Oceanside, California (On-site only)

· Part-Time: 20–25 hours/week

· Flexible hours between 8:00 AM – 5:00 PM (Preferably 9:00 AM – 2:00PM Monday to Friday)

Compensation

· Based on skills and experience

What You’ll Be Doing:

· Manage day-to-day administrative and HR operations

· Coordinate recruitment, interviews, onboarding, employee records, facilitate new and required employee training and HR documentation.

· Review and audit Form I-9s and process via E-Verify

· Ensure completion and accuracy of new hire documentation

· Communicate with hiring managers and employees to obtain required documents

· Maintain personnel files and assist with general HR tasks

· Support payroll tracking, benefits coordination, and employee queries

· Handle mail, scanning, and document filing (invoices, licenses, etc.)

· Manage calendars, meeting schedules, travel arrangements, and occasional personal tasks.

· Liaise with vendors, service providers, and contractors as needed, coordinate facility-related needs, resolve account related issues

· Serve as the go-to person for general office operations and staff needs.

· Help organize meetings and keep action items on track

· Support leadership with day-to-day coordination and task management

· Replenish and manage office supplies and snack inventory within budget.

· Coordinate with facility management for premises-related needs.

· Greet visitors, manage front desk calls, and arrange courier services

· Provide support for AP/AR and special projects as needed

What You Bring

· 2–4 years of experience in HR/administrative roles

· Strong understanding of California labor laws and HR best practices

· High level of discretion, reliability, and professional judgment

· Strong organizational skills and attention to detail

· Excellent written and verbal communication

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

· Experience reviewing employment eligibility (Form I-9)

· Prior experience in the pharmaceutical/nutraceutical industry a plus

· Ability to lift up to 25 lbs

· Strong numerical and follow-through skills

· Self-motivated and adaptable to a small business setting

Nice to Have:

· Experience in a small business or startup environment

· Exposure to labor law basics or compliance processes

· Ability to adapt quickly, prioritize tasks, and take initiative.

· Ability to jump in wherever needed—from drafting a job post to chasing invoices
