Position Summary:

The Data Entry Clerk – You will be part of a team whose purpose is to manage, prepare and execute utility billing for multi-family housing communities. This position allows the opportunity to work with multiple team members within the Utility Expense Management Division within Minol USA while serving their growing clientele through data entry, management, and oversight.

The Data Entry Clerk is responsible for:

· Managing incoming billing invoices by determining which client/property/resident said invoice is for, properly notating, documenting and storing incoming billing invoices, then incorporating into ongoing data entry workload

· On bills received through mail, the data entry clerk will need to identify the client, scan the bills to create an electronic image of the invoice(s) and forward correspondence of receipt of bill(s) to all relevant parties.

· Core data entry duties following invoice management include but are not limited to:

Ø Prepare and sort documents for data entry

Ø Enter variety of data using various programs/applications

Ø Create and maintain logs for tracking purposes

Ø Review and enter data updates in the systems

Ø Audit/review discrepancies in data received/entered

Ø Advise supervisor of issues related to incoming and outgoing data

· Using a schedule of availability, retrieve bills off the web; create electronic image of invoice(s), and store electronic image in appropriate/designated location so as to allow for appropriate parties to have access.

· Maintain a database of all bills processed, when available, when received, and how received, while helping retrieve any missing bills

· Utilize Excel processes (Vlookup, etc.) to manipulate and reformat data to import into billing system

· Researching, verifying, and resolving data discrepancies with provider representation

· Maintaining compliance with data integrity and security policies

· Other duties as needed, which include but are not limited to research, analysis, and limited customer interfacing

Required Qualifications:

· High level typing skills with experience in 10-key data entry

· One-year certificate from a college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience

· Comfort with managing deadline pressure while maintaining a detail orientation within an analytical team-oriented role

· EnergyCap experience or related experience within the utilities and/or multi-family housing industry (a plus)

· Familiar with data entry of utility bills and/or invoices (preferred)

Desired Skills:

· High proficiency at typing with accuracy while entering customer and account data from source documents within time limits

· Ability to perform moderate to complex analysis and research and evaluate alternatives while making sound determinations and recommendations

· Expert in data manipulation using Excel and various forms of software

· Experience manipulating data from PDF to other formats.

· Strong organizational skills with attention to detail

· Team player with ability to constantly improve upon and promote service quality

· High level of self-motivation and business acumen

· Adaptability and willingness to reprioritize responsibilities while managing deadlines within a team oriented environment.

· Computer Skills – database and spreadsheet software

· Language Skills – ability to respond effectively to colleagues and clients

· Math Skills – proficiency w/general mathematics and basic pattern recognition

· Reasoning Ability – ability to problem solve with limited information while managing workload
