Mansfield City Schools There is a School Secretary position available for Sherman Elementary School for the 2025-2026 school year.
SUMMARY:
The position requires a person that has the personal and job skills to successfully communicate with staff, parents and students in an educational setting; under the direct supervision of the principal or other school administrator provide clerical, secretarial and administrative assistance, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees. Staff in this position has the capacity to complete a variety of tasks in timely and accurate fashion; understands the age-related needs of the students within the school; and is willing to cooperate in a positive manner to assist in the attainment of building and district goals. The position may be 10-month or 12-month.
QUALIFICATIONS:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
Graduation from high school.
Associates degree with course work in business, math, word processing, office procedures and record keeping preferred.
Successful experience with office management preferred.
A minimum of three years of experience in working with computers and the ability to execute programs that update files.
Ability to relate to students with respect, compassion, tact and understanding
Ability to work independently and efficiently with minimum supervision, including developing and implementing effective office procedures. Duties/Performance Responsibilities
Composes documents (e.g., notices, correspondence, bulletins, reports, newsletters, handbooks) for principal, or other school administrators for the purpose of requesting or providing information about school and work-related matters, activities, events, etc.
Maintains the daily/weekly/monthly calendar of the principal for the purpose of coordinating the scheduling of work-related appointments, activities, meetings, etc.
Assists in planning and scheduling school events and activities, and maintaining calendar of school and students' events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, assemblies, conferences, etc.
Maintains documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
Prepare requisitions for purchase orders for the purpose of submitting to the school district Treasurer's office.
Maintains inventories of supplies and materials for the purpose of ensuring items' availability.
Assists visitors to the office, including students, parents, substitutes teachers, and others.
Answers telephone calls, and provide information and assistance to callers.
Distributes incoming mail appropriately; sends outgoing mail.
Schedules appointments with students, parents and teaching staff or others as requested.
Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
Assists in registering existing students, making sure all electronic (i.e. OneView) forms are completed, obtaining transcripts and other documentation as needed, and entering data into the computer system (i.e. OneView) regarding enrollment and student records (e.g., transportation, attendance, withdrawals).
Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
Serves as liaison with outside organizations (e.g. transportation, food service, suppliers for the purpose of coordinating the scheduling of deliveries, activities, etc.)
Supports, guides, leads, may train and coordinate work of school clerical employees for the purpose of providing assistance with administrative functions.
When necessary, collect, receive and deposit funds collected at the building site.
Daily monitoring of the staff absence report.
Assists in the care of children or staff who become ill at school or who are in need of first aid.
Maintains daily monitoring of emergency medical authorization forms (currently in OneView) validating address changes, custody, or basic demographic changes. Notify the Transportation Department as necessary.
Scan all enrollment files and documents in to Laserfiche at the time of enrollment.
Prepares accident reports when necessary.
Provide secretarial assistance to school counselors as needed.
Exhibits a professional manner to customers; parents, students, vendors, staff, and other school district departments.
Attend required professional development sessions as scheduled.
Abide by the Mansfield City Board of Education policies, building guidelines, and the negotiated agreement between the Board of Education and the Mansfield School Employees Association.
Performs other reasonably related duties, as assigned by Administration, for the purpose of ensuring the efficient and effective functioning of the school. Knowledge, Skills and Abilities
Adequate knowledge of computers including MS Office products (i.e. Word, Excel, PowerPoint, etc.) and Google products (i.e. Chrome, Google mail, etc.).
