This role is intended to cover an entire market and is not office specific. The Build Coordinator will support all clinicians and end users in their market or region.
Post certification support for athenaClinicals will be provided. This will ensure that issues and workflow needs are addressed and that direction is given for functionality change management.
I. Post certification support model:
a. Weekly calls will be held for 4-5 weeks to complete an in depth review of Build Coordinator training
b. Homework will be assigned and must be completed each week of the post certification training period
c. Participation in the weekly calls is expected - Be prepared to demonstrate your homework assignments and expect to be called on to answer questions
Note: These calls will be mandatory, but will be recorded to accommodate clinic schedules. After the weekly calls, it is expected that Build Coordinators will attend the enterprise wide AMR bi-weekly calls.
II. Accountability and Responsibility for this role:
a. Before attending the BC training session, the BC must sign and accept this contract.
i. To keep the upgraded athenaClinicals BC access level the Manager of Content will periodically evaluate the engagement with the clinical analyst & BC in this role.
ii. Failure to comply with the responsibilities and terms outlined below will result in loss of access and removal from the Build Coordinator team.
b. The below responsibilities are required and others may be added periodically:
i. Be comfortable with training and onboarding new clinical staff and clinicians.
ii. Provide onsite support for go-lives for new clinicians to include acquisitions.
iii. Conduct workflow assessments to establish needs of new departments and new clinicians.
iv. Participate in all new implementation calls and provide information to the project manager as requested.
v. Develop training materials as needed.
vi. Develop (along with your divisional director) an optimization plan for your market.
vii. Support other Build Coordinators in the market.
viii. Meet regularly with market leadership to ensure there is clear communication concerning clinician and staff needs.
ix. Review Care Check report and develop a method to distribute.
x. Use the Care Check report to help determine clinicians that need more training or optimization.
xi. Develop a method to deliver clinical communications such as newsletters, videos, lunch and learns, 1:1 session, etc.
xii. Work directly with staff to promote efficient utilization of the clinicals.
xiii. Have a general understanding of interfaces to perform troubleshooting.
xiv. Monitor the Athena interface error queue daily.
xv. Have a general understanding of Collector and Communicator functionality.
xvi. Promote standard workflows as outlined by QHC.
xvii. Clinical Inbox management - monitor all departments/clinicians daily.
c. Terms of Use to maintain this access level include but is not limited to the following:
i. Awareness that certain build changes will impact data already entered, and that the Manager of Content/ and or clinical analyst should be engaged as necessary
ii. Attendance at weekly meetings post certification, and then bi-weekly calls with all enterprise BCs.
iii. Continual use and improvement of the Build Coordinator skillset is expected and will be reviewed by the Manager of Content as needed.
iv. Record Keeping- specifically for the following build changes:
1. TAO add/changes
2. Procedure Template changes (and codes affiliated with them)
3. Order Type and Procedure mapping adds/changes
