The Administration & Finance Coordinator provides administrative and budget assistance for several departments in the Law School.
This position reports to the Assistant Dean of Administration & Strategic Initiatives and assists other senior administrators as needed.
Duties: Handles day-to-day operational tasks at the Law School including, without limitation, the following:* Issues all Law School IDs for faculty, staff, and students; prepares replacement IDs upon request.* Issues and maintains records of all Law School keys.* Issues parking permits and manages all vehicle registrations for faculty, staff, and students; sends temporary parking permits when requested.* Requests signage as needed (i.e., new staff or faculty).* Monitors Law School supplies (i.e., paper) and orders as needed.* Manages confidential material bins and requests pick-up when needed.* Coordinates and manages room reservation requests for events and assists Associate Dean of Academic Affairs and Registrar with room assignment for classes each semester.* Coordinates paperwork and other details for outside entities requesting use of the Law School for events.* Assists with various HR tasks including on-boarding and completing I-9 forms for student workers and Law School employees.* Organizes various committee and other meetings; prepares and distributes meeting agendas and other documents; coordinates Zoom information or other accommodations and communicates arrangements to meeting participants.* Assists with exam preparation and proctoring as requested.* Prepares correspondence for administrators.* Maintains the Law School calendar of events (coincides with room reservations) and coordinates logistics as needed.* Monitors housekeeping and facilities work orders for progress and completion; reports outstanding matters to the Assistant Dean.* Prepares and submits annual parking, ID, security, and building information for review.Finance Duties: Handles day-to-day and other financial and budget tasks for the Law School including, without limitation, the following:* Processes invoices and payment requests for general Law School expenses; evaluates appropriate GL accounts for allocating expenses.* Processes checks for several departments.* Secures procurement requests and purchase orders as needed.* Assists administration and departments with budget functions as requested.* Researches budget-related issues and reports answers for the Assistant Dean to address.* Monitors general Law School expenses for supplies and other routine services.* Invoices external parties for use of Law School facilities.* Monitors event budgets including anticipated expenses and final costs.* Collects budget data and prepares spreadsheets as requested.Qualifications:* Knowledge and skills at a level normally acquired through the completion of a high school diploma.
Associate degree or higher preferred and\/or 2-3 years administrative assistant experience; or equivalent combination of education and experience u>* Ability and\/or skill to work closely and professionally with others as part of a team; be flexible; pay attention to detail; work without supervision and demonstrate considerable initiative; communicate professionally through both verbal and written means; work well with men and women from diverse backgrounds; manage multiple priorities under tight deadlines; establish departmental goals and priorities; and contribute to Capital University's philosophy, strategic plan, goals, and doctrine.For more information on Capital University, visit our website at
