Position Summary
NAES Corporation is seeking a dynamic Executive Assistant for our office in Woodlands (Houston area), TX. The Executive Assistant will provide administrative support to several members of the Executive Leadership Team. The individual in this role must be detail oriented, possess strong communication skills, have a professional demeanor, and be results oriented, committed to providing exceptional customer service.
The Executive Assistant will be responsible for a wide range of support-related tasks and should be able to work independently with no supervision. The successful candidate will be an analytical thinker and highly resourceful team-player comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficiently.
Essential Duties and Responsibilities

Executive Assistant
Provide executive administrative support including travel planning, meeting planning, answering calls, preparing/managing correspondence, managing project files/documents and ordering office supplies for Team (and other senior executives as needed)
Assist with Outlook calendar and meeting
Compile & distribute executive reporting packages for organization
Generate and distribute various daily, weekly, monthly reports to Corporate
Prepare Concur expense reports
Assist with preparing/editing PowerPoint slides for management presentations
Actively drive special projects as assigned
Collaborate with other executive admin assistants and provide back-up and assistance as needed
Perform other administrative and accounting duties as assigned
Manage day-to-day operations, including scheduling, supplies procurement, and vendor management
Maintain office policies, procedures, and systems to ensure efficiency and compliance
Serve as the primary point of contact for building management and service providers
Oversee maintenance and repair of office equipment, furniture, and facilities
Ensure the office environment is clean, safe, and well-organized
Handle incoming and outgoing mail, deliveries, and courier services
This role will serve as the trusted Executive Assistant for a wide range of administrative support and must be a model of professionalism as they will be viewed as an extension of the executive team. The successful candidate will be self-motivated and proactive in their approach to the role. They must consistently handle sensitive and confidential information with discretion.
COMPENSATION
The initial compensation will range from $102,000 - $117,000.
Qualifications
High School graduate or equivalent required; Bachelor's or Associates degree strongly preferred
Minimum of 2 - 5 years' experience supporting executives in an administrative role
Job Requirements
Ability to work independently and manage multiple deadlines with changing priorities
Excellent MS Office application skills required (Excel, Word, PowerPoint, Outlook, Concur)
Ability to maintain confidentiality is essential
Demonstrated strong verbal and written communication skills
Excellent organizational skills and detail oriented
Possess a professional demeanor and ability to professionally interact with all levels of management and representatives of the company as well as dealers and customers
Ability to manage time effectively while working under tight deadlines
Must have attention to detail and the ability to problem solve
Become a "go-to" expert on most company systems and software
Ability to solve practical problems, clearly communicate tasks and needs, and train other personnel
Ability to analyze and interpret data to make sound professional judgments and recommendations
Excellent verbal and written communication and analytical/quantitative skills
Travel as required to attend meetings, training, or conferences.
Ability to do sitting, walking, reaching, climbing, and stooping and lifting (up to 25 pounds).
Physical Requirements and Working Conditions This role requires sit at a desk, using a computer workstation, to stand, walk, use hands and fingers, handle, or feel objects, tools or controls; reach with hands and arms, climb stairs; balance, stoop, kneel, crouch or crawl, talk and hear. Working Conditions - Work regular.
Fit for Duty
All employees will participate in the Fitness for Duty Program. This program includes a post-offer physical examination and drug screening and post-employment random drug screening. There are extensive smoking restrictions in and around the facility.
