Well-known venture firm in Palo Alto is looking for an Executive Assistant to support one of the General Partners. This is a great opportunity to be part of a collaborative, hard-working team passionate about innovation and technology! Provide support to a dynamic, busy Executive by managing complex calendars, scheduling meetings, arranging travel, and handling both business and personal tasks. Someone with exceptional calendar management skills—you'll need to be a "calendar tetris" expert who views the schedule holistically, anticipating needs, and balancing and protecting the GP's time and energy. You will also provide light support to an Associate who works closely with the GP. Must have exceptional attention to detail, be a forward thinker, highly responsive, and confident in taking ownership. Previous experience supporting high-level Executives in VC is desired. This is a primarily in-office role 4-5 days/week, based in Palo Alto, with flexibility to come in as needed and attend events. 140K+ DOE plus benefits, profit-sharing, 401k & generous PTO.

Responsibilities:

Provide high-level executive support, primarily for a General Partner, with light coordination support for an Associate.

Own and expertly manage highly complex calendars, proactively prioritizing and resolving conflicts while holistically supporting the GP's schedule. Anticipate upcoming needs, thoughtfully account for logistical details, and ensure a well-balanced schedule that respects the executive's time and energy.

Coordinate detailed domestic and international travel arrangements, including flights, accommodations, visa processing, ground transportation, and comprehensive itineraries.

Act as a trusted point of contact, handling internal and external communication with discretion, clarity, and professionalism.

Process and reconcile both business and personal expense reports accurately and in a timely manner.

Maintain and track business relationships in CRM and email management platforms, ensuring updated and organized records. Adding notes and summaries to organize contacts.

Plan and execute internal offsites, strategic meetings, and external events with attention to logistics, guest experience, and follow-through. Working alongside the team on larger events.

Anticipate executives' evolving needs and preferences to help optimize their time, focus, and decision-making capacity.

Take initiative on special projects and ad hoc assignments, both business-related and personal, ensuring thoughtful execution with minimal guidance.

Exercise sound judgment, make decisions with limited information, and remain composed and solutions-oriented in a dynamic environment.

Qualifications:

3-5+ years of experience supporting senior-level executives, ideally within venture capital, private equity, or high-growth environments.

Skilled in managing complex calendars, coordinating travel, and providing seamless executive support.

Strong organizational skills and adaptability to shifting priorities in a fast-paced setting.

Entrepreneurial mindset with the ability to take initiative, work independently, and operate beyond traditional EA responsibilities.

Demonstrated experience using CRM or relationship management platforms such as Affinity is a plus.

Strong emotional intelligence with clear and strategic communication skills, both written and verbal.

Maintains a 24/7 mindset when necessary, staying responsive to time-sensitive matters outside of traditional work hours.

Exceptionally detail-oriented with a strong sense of discretion, confidentiality, and polish.

Technically proficient in Microsoft Office Suite, Google Workspace, Zoom, and expense reporting tools such as Tally.

Positive, pleasant, professional demeanor; upbeat and composed even under pressure.

Bachelor's degree or equivalent work experience required.
