Description
We are seeking a proactive and knowledgeable IT Clinical Systems Manager to oversee the planning, implementation, and support of clinical applications and systems across our dental organization. This role will serve as a critical liaison between clinical operations, IT, and third-party vendors to ensure our technology supports efficient, compliant, and high-quality patient care. The Clinical Systems Manager manages our Clinical Systems Training Team in the day to- day performance of their jobs and ensures that project/department milestones/goals are met.
Key Responsibilities
Oversee the daily operations, maintenance, and optimization of all clinical applications, including EHR/EMR/PMS, practice management, scheduling, e-prescribing, and patient portals.
Serve as the primary point of contact for clinical software vendors; manage vendor relationships, SLAs, and product roadmaps.
Coordinate system upgrades, new module rollouts, and integrations with third-party systems (e.g., labs, imaging, billing).
Partner with clinical leadership, providers, and end users to gather requirements, troubleshoot issues, and ensure systems meet clinical and operational needs.
Translate clinical workflows into system configurations or enhancements that improve usability and efficiency.
Lead or support onboarding, training, and ongoing education efforts for clinical system users.
Develop and maintain documentation, user guides, and FAQs for clinical applications.
Monitor support ticket trends and implement process or system changes to reduce recurring issues.
Lead clinical system implementation and enhancement projects from planning through go-live, ensuring milestones, timelines, and budgets are met
Responsible for onboarding and ongoing training and development for IT Software Trainers.
Administer and report on post-training evaluations of training staff.
Drive the efforts for interviewing and hiring new Training Team members.
Become an expert in all SDB preferred practice management software.
Develop materials for customers and internal team members.
Research and select software to support on-line software training.
Create and edit instructional materials to be used by trainers on-site and oline.
Be the connection between SDB frontline Clinic, Implementation, Conversion, and Training Team.
Create training schedules and manage training resources.
Support trainers on-site and assist with conversion issues.
Address concerns of the trainer or office and assign responsibilities accordingly.
Manage and approve trainer expenses.
Communicate with the project managers and vendors - relay concerns and enhancement requests.
Responsible for managing, planning, overseeing all aspects of software training.
Collaborate with the software vendors to resolve software and product issues, as necessary.
Professionally represent Specialty Dental Brands to internal and external customers, in accordance with company policies and procedures.
Collaborate with the Information Security team to enforce data security and access controls within clinical systems. Requirements
3+ years of experience managing clinical applications, preferably in ambulatory, multisite, or specialty care settings.
Strong leadership and interpersonal skills.
Experience in managing a customer-facing team.
Experience creating and utilizing instructional design techniques that include adult learning theories
Proficient using dental or healthcare practice management systems, and comfortable with technology.
Ability to effectively communicate and manage change in a positive manner.
Strong knowledge of EHR/EMR systems
Familiarity with healthcare or dental operations, clinical documentation, and regulatory requirements (HIPAA, HITECH, etc.).
