POSITION: Events & Team Operations Assistantship

REPORTS TO: Manager of Events and Team Operations and CAO
STATUS: Temporary Full-Time, Non-Exempt, Onsite
SUMMARY: This is an exciting opportunity for someone looking to pursue a career in events or team operations. The assistantship will provide hands-on experience, allowing the individual to observe, learn, and develop essential skills to explore career opportunities in the field. Please note, this position involves a high volume of work and responsibility.
Salary: $2430 monthly /Duration: 6.5 months /Tentative start date: Fall 2025
ESSENTIAL FUNCTIONS
Learn the inner workings of a major non-profit sports and event organization and its role in the community
Demonstrate proactivity, quick decision-making, and effective communication with committee members
Actively participate in key annual Orange Bowl events such as Family Fun & Fit Day, Orange Bowl Golf Classic, Family Fall Festival, Orange Bowl BeachRun, High School Football Showcase, High School Basketball Showcase, and the GA Telesis/Orange Bowl Golf Tournament
Enhance skills by engaging in group activities like Team Site Visits, Player Dinners, Official Party Dinners, Player and Official Hospitality rooms, and Spouses Outings. This includes managing administrative tasks such as scheduling dates, developing layouts, and liaising with third-party vendors
Collaborate with various Orange Bowl Sub-Committees in preparation for hosting the Orange Bowl teams during bowl week
Gain an understanding of basic accounting principles, including budget reconciliation, purchase orders, and invoice processing
Contribute to the research, presentation, and management of annual plans, budgets, agendas, and task lists
Learn about the administration of event agreements and contracts
Assist in managing junior hosts before and during bowl week
Participate in the development, presentation, and management of event staffing plans and operational task lists
Gain experience with the Orange Bowl Youth Sports Program, including the "Park of the Week" program and other community outreach initiatives.
Contribute to editing and updating the Orange Bowl Team Participant Guide on a weekly basis
Assist in editing the Conference, Hospitality, and Game Official Manuals in preparation for bowl week
Receive training in the planning and execution of both internal and external event meetings
Gain insight into team gift selection, brainstorming ideas based on different team classifications
Participate in Capital One Orange Bowl Host Committee activities, including
Learning the scheduling of Host Committee meetings, creating meeting agendas, taking meeting minutes, and engaging in discussions
Gaining exposure to team arrivals, student-athlete and official party dinners, hospitality rooms, and handling event logistics such as décor, entertainment, gifts, setup, breakdown, and transportation for outings
Learn about the logistics of game officials' travel, entertainment, events, and accommodations
Assist with additional tasks as assigned by the Chief Administrative Officer.
Get familiar with team transportation logistics, including airport arrivals, bus and limo services, and managing courtesy car assignments and distributions
Participate in research and inventory management for team gifts, site visits, and game day activities
Help prepare for events by using an event packing list and loading the Orange Bowl box truck
Understand how to ensure the quality of events and meet timeline requirements.

Bachelor's degree preferably in Sports Management or related field
Highly organized and attention to detail.
Excellent communications and interpersonal skills.
Proofreading skills required.
Strong record of event achievement.
Proficiency in Smartsheets, Adobe Acrobat, MS Office including Excel and Publisher, typing skills
Ability to lift a minimum of 20 pounds
Ability to drive a box truck Note:
Must be willing to work 40 hours a week with overtime being paid for additional hours as needed.
Must possess a valid driver's license and a good driving record
