Kazan, McClain, Satterley & Greenwood, a Professional Law Corporation, has represented thousands of people suffering from the effects of asbestos related illnesses, particularly mesothelioma, since 1974. We are nationally recognized pioneers in asbestos litigation and currently interviewing Legal Secretaries to join our Oakland, California based team.

The Accounting Assistant provides vital support to the finance and accounting department by assisting with the day-to-day accounting tasks to ensure accurate financial record-keeping and contributing to the smooth operation of the accounting team.

DUTIES & RESPONSIBILITIES:

Accurately enter and maintain financial data in accounting software (e.g. Quickbooks etc.)

Maintain organized and up-to-date financial records.

Process and reconcile invoices and payments.

Assist in the preparation of financial reports, statements and documents.

Prepare and reconcile bank statements, including investigating and resolving any discrepancies between bank records and internal financial reports.

Process accounts payable transactions.

Assist with invoice processing and payment reconciliations.

Assist with payroll preparation and processing and other payroll related tasks, such as payroll taxes or pay stubs distributions.

Handle routine administrative tasks within the accounting department, including maintenance and organization of financial files.

Support the accounting department with ad-hoc task and projects as required.

Other duties as assigned by the Controller

QUALIFICATIONS:

Associate or Bachelor’s degree in Accounting, Finance or related field (preferred)

At least 1 year experience in an accounting or finance-related role (preferred)

Familiarity with accounting software (such as Quickbooks) and basic financial procedures

SKILLS:

Excellent attention to detail and accuracy in data entry and financial transactions

Ability to handle confidential and sensitive information with discretion

Knowledge of accounting principles and practices

Proficient in Microsoft Office Suite (Excel, Word, etc.)

Strong data entry and record-keeping skills

Good communication skills, both verbal and written

Ability to work independently and as part of a team

Ability to prioritize tasks and work in a fast-paced environment

The Legal Secretary provides administrative support to a litigation team by assisting in the preparation of materials related to case litigation.

Job requirements:

● Excellent written and verbal communication skills.

● Ability to work independently and carry out assignments to completion with minimal instruction and supervision.

● Ability to work under pressure and to meet sensitive deadlines.

● Experience with business software such as Microsoft Office Suite, Best Authority and document management systems.

● Excellent word processing skills.

● Excellent online and other computer-related research skills

● Fluent in Spanish a plus, but not required.

Training/Experience:

● Experience in a law firm setting.

● College graduate or equivalent experience.

Duties and Responsibilities:

As directed by the case supervising attorney, duties may include, but are not limited to:

● Prepares, edits, files and serves motions, pleadings and other litigation materials related thereto, seeing to it all legal requirements are met.

● May be responsible for following up on actions of the court with attorneys or paralegals assigned to cases to ensure that decisions are implemented, materials and documents prepared and appropriate parties notified.

● May be asked to attend meetings to take notes or furnish information and participate.

● Answer department phones, referring calls or messages to proper persons for resolution.

● Files documents in court; orders case related documents; drafts charts and summaries and covers for secretaries in other departments.

● May be asked to manage department calendar and sharing responsibilities for ensuring that deadlines are met on a timely basis

● Other duties as assigned.
