Salary: $24.61 - $38.00 / hour

Davis County Commission Office is looking to hire a full-time Executive Assistant. This position performs administrative, clerical, receptionist, and other office duties under general supervision of the Office Manager. Incumbents serving in this classification are appointed by, and support, the Commission.

This is a merit-exempt (at-will) position appointed by the County Commission.

Requirements

High school graduation or equivalent.

Six years of full-time administrative support experience.

Preference for experience in State or local government.

May be subject to a criminal history background investigation.

Must possess a State of Utah Certificate of Authority of Notary Public or obtain within 3 months. Fee will be paid by Davis County.

Must furnish personal transportation for on-the-job travel.

Day to Day Duties

Greets visitors, answers telephones, responds to email inquiries and provides information requiring knowledge of County and department policies and procedures, handles complaints appropriately, and refers concerns to appropriate persons or departments.

Collects, organizes, and prepares data for a variety of forms, reports, records, and applications, and obtains signatures as necessary.

Establishes and maintains filing systems, controls records, and reports including paper and digital files.

Schedules and makes arrangements for calendar appointments, conferences, reservations, and meetings.

Prepares travel requests, travel reconciliation reports and travel itineraries. Keeps records of travel expenses and reimbursements.

Composes a variety of correspondence, documents, and reports. Records meetings and prepares minutes of various meetings as requested. Ensures that public notices of meetings are made and that information is posted according to statute.

Retains articles and photos from digital and printed newspapers and updates reference materials . Creates letters, reports, statements, memorandums, press releases, and other materials from copy, rough draft, and other sources.

Receives, distributes, and prioritizes incoming mail including email and website questions.

Maintains inventories and orders supplies and materials.

Assists others in regular duties and special projects as assigned.

Coordinates activities with businesses, other governmental entities, or citizens.

Acts as a notary to assist the public and other employees as needed.

Responsible for publishing a monthly digital newsletter and distributing it to all employees and over 4,000 subscribers from the public. Contacts other departments, cities, community organizations to collect information including flyers, photos, digital files and web links.

Updates and monitors social media accounts and department webpage as needed.

Using photos and digital graphics, creates announcements and holiday cards that are sent from the Commission Office.

Monitors and updates monthly expenditures using financial software. Helps prepare reports for annual budget requests.
