Forrest Solutions provides onsite outsourced solutions and seeks a Client Relations Manager for a premier law firm in Century City, CA. The working manager will maintain a superior quality of services offered to clients through the management of all service lines. They will train, motivate, and supervise a team of four associates, creating the Forrest Solutions Workplace Experience, always delivering a 5-experience with Operational Rigor.
JOB RESPONSIBILITIES -
The successful candidate will be able to function in the Front of the House Activities (Hospitality, Events, and Reception) 70% of the time and the Officer Services/ Print Department 30% of the time.
Office Services (including Copy & Print) -
• Produce Copy & Print Jobs for the firm
• Follow the Quality Control process to ensure exceptional work is produced.
• Complete Job tickets and track metrics for weekly and monthly reporting
• Complete White Glove Service on Multi-Function Device Copiers on the floors
• Troubleshoot and place equipment service calls, logging all requests.
• Order Copy & Print Supplies (Toner, Paper, etc.). Ensure adequate shipping supplies are on-hand and readily available.
• Package and Ship finished projects accordingly with the firm's shipping services.
• Work with the Mailroom and Support Services team to ensure a coordinated delivery and/or setup of projects and client-facing events where documents are needed.
• Assist with daily mail and Federal Express pick up and drop off.
• Assisting with maintaining the tidiness and cleanliness of the entire office space
• Assisting with copying and scanning mail
• Assisting with mailings and other miscellaneous projects as needed
• Provide consistent, exceptional Client First service to all visitors, clients, and employees of the Firm.
• Assisting with delivering and retrieving food, boxes, and materials as needed
• Responding to customer questions and following promptly
• Other duties assigned as necessary to support the operations of the office.
Hoteling -
• Review and manage hoteling lists for each day
• • Disinfect desk and technology, restock office supplies, and change out nameplates for the next user of a hoteling office
• • Ensure all hotel offices are properly stocked and presentation-ready.
Meeting Room Management:
• "Owns" the floors, performing regular floor walks to ensure optimal conditions are maintained. Inspect what is Expected
• Maintain visible support on the floors for guests and visitors, focused on connecting them with the right people/resources to get what they need and responding to ad hoc questions
• Review and manage meeting lists for each day
• Optimize and prepare meeting rooms before each meeting, utilizing checklists to ensure each room is properly set up and stocked and that any special requests are handled
• Utilize ca checklist to ensure all setups are done to perfection:
Pantry and Catering Services:
• Establish White Glove standards (wipe downs, alignment of products, clear organization) for all pantry areas, including checking expiration dates and rotating stock. Food & Beverage display items to always be kept in impeccable condition
• Perform kitchen cleaning, maintain Kitchen supply inventory, stock shelves and refrigerators, make coffee, and fill/empty dishwashers
• Unload and distribute/ arrange daily food deliveries in pantry areas. Continually consolidating, storing, and disposing of unused perishables
• Impeccably kept public eating areas with all chairs, barstools, and tables always site inspection ready for employees and clients
• Support Client events and client lunches in the office
Ordering and Stocking -
• Establish Just-In-Time ordering processes for procurement of pantry and conference room supplies to minimize unnecessary wastage and over-ordering
• Track supply orders and daily inventory levels
Community Spaces:
• Maintain appearance, order, and stock levels in shared spaces, such as cafés and open collaborative spaces
Hospitality/Pantry/Kitchen Support -
• Establish White Glove Standards (wipe downs, alignment of products (clear organization) for all pantry areas, including checking expiration dates and rotating stock. Food & Beverage display items are to always be kept in impeccable condition.
• Demonstrated capability to professionally maintain and utilize coffee machine and brewing equipment
• Unload and distribute/arrange daily food deliveries in pantry areas. Impeccably kept public eating areas with all chairs, barstools, and tables always client-readyy
Catering and Events -
• Ensure all requirements and necessities regarding food and beverages are met for office events
• Issue event forms detailing meeting and event logistics
• Manage catering orders: timing, delivery, setup, breakdown, etc.
• Provide inventory management and handle ordering of all food and beverages both on the floor and within the pantry areas.
Reporting
• Compiled data on a weekly basis and shared with leadership
• Daily and weekly recaps
• Weekly Forrest Solutions & Client Meetings
• Assist with Powerpoint Presentations and Data Tracking
JOB REQUIREMENTS
• • Proven experience in a leadership role, preferably in a professional services or similar environment
• Strong leadership and people management skills required; proven ability to assess performance, mentor, and develop associates is essential
• Excellent verbal and written communication skills

• A high level of technology efficiency using Microsoft Office products and applications
