ABOUT THIS POSITION

The Phoenix Convention Center and Venues hosts a diverse range of conventions, trade shows, meetings and entertainment events in one of the premier convention facilities in the United States. The City of Phoenix Convention Center is seeking an enthusiastic, detail oriented and high-performing individual to fill one Project Management Assistant role in the Facilities & Services Division. The Project Management Assistant is an entry-level position, open to anyone with an interest in Project Management. Project Management Assistants are responsible for assisting the Project Manager in all facets of construction and maintenance-related departmental projects. This position must be able to professionally interact with customers, contractors, vendors, and representatives of other City departments.

Duties include:

Managing Scopes of work (SOW), Request for Services (RFS), Notice to proceed (NTP), invoicing, and contract management.

Supporting the Division's Project Managers with duties related to all Capital Improvement and Capital outlay projects.

Developing and/or revising program documents and tracking tools as needed for project scheduling completion, permits, and inspections.

Assisting with Request for Proposals (RFP) processes for contracts in the Facilities and Services Division.

Creating and/or revising project Change orders or Request for Information during projects.

Reviewing and processing vendor invoices and supporting documentation for payment reimbursement.

Attending meetings and completing meeting minutes.

Reviewing drawings, as-builts, and schedules to verify items within a project.

Managing contractors and construction field work . IDEAL CANDIDATE

Ability to:

Interpret and make decisions in accordance with ordinances, governmental regulations, and policies.

Observe, compare, or monitor data to determine compliance with prescribed operating standards, program regulations, or contractual requirements.

Work independently and with minimal structure while exercising great judgment.

Multitask, prioritize, and work well under pressure to meet established deadlines.

Interact with business partners, contractors, and coordinate project meetings.

Read, understand and organize construction drawings, specifications, and schedules.

Excellent communication skills.

Strong organizational and problem-solving skills and attention to details. SALARY

Pay Range: $54,454.40 - $97,780.80 annually.

Hiring Range: $54,454.40 - $80,454.40 annually.

Pay Range Explanation:

Pay range is the entire compensation range for the position classification.

Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

MINIMUM QUALIFICATIONS

Two years of experience in governmental research, urban development, finance or public administration.

Bachelor's degree in public or business administration, urban planning, architecture, engineering, economics or a related field.

Other combinations of experience and education that meet the minimum requirements may be substituted.

The minimum qualifications listed above, plus:

Proficient with Microsoft Office products such as Word, Excel, SAP, and PowerPoint.

Experience in/with:

Assisting in the coordinating and development of capital improvement projects.

Contract management, contract amendments, and completing required documentation for opening and close out of project.

Building construction work or related trades.

Developing Gantt Charts and tracking milestones on related projects.

General accounting practices such as monitoring budgets, account reconciliation, and processing invoices.

Managing multiple projects simultaneously.

Vendor contract management and contract amendments payouts.
