Description
The Management Analyst will provide high-level administrative and operational support to the Human Machine Integrated Formations (HMIF) Program Office within the Army Rapid Capabilities and Critical Technologies Office (RCCTO). This role involves coordinating daily activities, supporting leadership communications, and facilitating smooth execution of project office functions, meetings, and special initiatives.
Responsibilities include but are not limited to:
Responsible for a wide variety of detailed financial and administrative responsibilities including facilities, logistics, and day-to-day activities for relatively large and/or complex programs, organizations or proposals
Participates in budget preparation and may recommend procedures to be used to monitor programs, organizations or proposals.
Manage daily schedules and operational calendars for HMIF Program Office leadership
Draft, review, and send official communications in alignment with established templates, formats, and policies
Coordinate and prepare for meetings, including document gathering and virtual logistics (e.g., Teams setup)
Answer and direct phone calls; relay messages and key information to program leaders
Manage senior leader travel arrangements in the Defense Travel System (DTS)
Support senior program specialists in preparing mission goals, calendars, and objectives for leadership review
Participate in staff calls, stand-ups, tag-ups, IPTs, and working groups; track action items, propose responses, and assist with resolution
Maintain internal task trackers; assign and monitor task progress to completion
Assist with daily office operations, event prioritization, and synchronization of project office activities
Draft and review official correspondence, briefings, talking points, and responses for accuracy and compliance
Support special projects by coordinating across functions, clarifying responsibilities, and ensuring timely completion
Maintain cooperative relationships and coordinate visitor authorization requests (VARS) when needed
Recommend policy and operational process improvements to enhance project office efficiency
Requirements
Bachelor’s degree or equivalent work experience in business administration, project management, or a related field
5+ years of administrative or program support experience, preferably in a DoD or government setting
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms such as Microsoft Teams
Demonstrated ability to manage executive calendars, coordinate meetings, and prioritize competing tasks
Experience drafting and editing professional correspondence and preparing briefing materials
Strong organizational skills with a proven ability to track and manage multiple tasks to completion
Effective verbal and written communication skills, including the ability to interact with senior leaders and cross-functional teams
Familiarity with the Defense Travel System (DTS) or willingness to quickly learn the system
Active Secret clearance is required.
Preferred Qualifications:
Prior experience supporting Army project or program offices, especially within rapid acquisition or technology-focused environments
Knowledge of Department of Defense policies, administrative procedures, and operational protocols
Experience participating in Integrated Product Teams (IPTs), staff calls, and working groups
Ability to independently assess meeting outcomes and draft actionable responses or after-action summaries
Familiarity with tracking systems or tools used for task and project management (e.g., SharePoint, Excel trackers)
Experience with coordinating Visitor Authorization Requests (VARS) and understanding of facility access protocols
Skilled at identifying and recommending process improvements to increase administrative and operational efficiency

Salary Range - MD: $80,000-$100,000
