Job Summary:

The Safety Administrator supports the execution and documentation of all safety-related programs, procedures, and compliance efforts for field operations conducted on or near railroad property. Working under the guidance of the Safety Manager, this role helps ensure the company adheres to all relevant safety regulations—including those set by the FRA, OSHA, and individual railroad clients—while promoting a culture of safety among field crews.

Key Responsibilities:

Assist in implementing and maintaining safety policies, programs, and training across all railroad job sites.

Maintain accurate and up-to-date records, including safety training logs, certifications (e.g., RWP), incident reports, inspection checklists, and SDS files.

Schedule and track safety training and refresher courses, such as FRA Roadway Worker Protection (RWP), OSHA 10/30, and client-mandated programs.

Help coordinate safety audits and inspections; document findings and follow up on corrective actions.

Support the preparation of incident and injury reports; assist in gathering documentation for investigations.

Ensure all employees and subcontractors are compliant with site-specific safety requirements, including PPE, drug & alcohol testing, and job briefings.

Act as a liaison between field teams, safety personnel, and railroad client representatives to ensure consistent safety messaging and standards.

Manage safety document control systems (physical and/or digital) and assist with internal and external audits.

Monitor job site activities remotely or through occasional field visits to verify compliance.

Assist in the development and distribution of safety communications, toolbox talks, and hazard alerts.

Maintain company data for ISN, Avetta, DOT, OSHA, and all safety related programs internal and external.

Other duties as assigned and needed to support the business.Requirements:

Qualifications:

High school diploma or equivalent required; Associate's or Bachelor’s degree in Occupational Safety, Business, or related field preferred.

2+ years of experience in a safety-related or administrative support role, preferably in rail, construction, or transportation.

Working knowledge of FRA, OSHA, and DOT safety regulations.

Familiarity with FRA Roadway Worker Protection (RWP) or willingness to obtain training.

Strong organizational skills with attention to detail and ability to manage multiple priorities.

Proficient in Microsoft Office (Word, Excel, Outlook); experience with safety management software is a plus.

Excellent written and verbal communication skills.

Ability to travel occasionally to field job sites as needed.

Preferred Certifications (Not Required):

OSHA 10 or 30-Hour Construction Certification

FRA Roadway Worker Protection (RWP) Training

First Aid/CPR Certification
