Job Summary:
We are seeking a dedicated and organized Medical Records Clerk to join our team. This role involves handling medical records requests, managing phone calls, retrieving faxes and records from other medical facilities, scanning documents, and maintaining patient records. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills to assist patients, physicians, and other healthcare professionals.
Essential Functions:
Collaborate with Health Mark to resolve records request issues from patients, physician offices, and attorneys.
Copy medical records upon request and respond to requests for protected health information in compliance with legal guidelines.
Complete medical record requests from the record release folder within the Shared Drive.
Retrieve operative notes and other health records from external medical facilities to support billing and patient care.
Scan relevant documents into patient charts.
Answer phones in a friendly and professional manner, promptly addressing patient inquiries and concerns.
Purge outdated files from storage for destruction in accordance with department policies.
Provide coverage for the clinic as needed.
Handle daily mail and check the provider’s mailboxes.
Distribute faxes to the appropriate medical assistants or teams.
Perform additional duties as assigned by the supervisor.
Skills and Abilities:
Strong communication skills with the ability to build and maintain professional relationships with patients, physicians, attorneys, and staff.
Excellent organizational and multitasking abilities, with the capacity to manage several tasks simultaneously.
Proficient in navigating office software and computer systems.
Ability to follow both oral and written instructions with attention to detail.
Physical and Mental Demands:
Frequent use of hands and fingers for office tasks (e.g., typing, using office equipment).
Ability to stoop, bend, and reach files and supplies, and move around the office to complete errands.
Ability to sit for extended periods while entering data and responding to phone inquiries.
Ability to lift items such as office supplies, paper reams, and equipment weighing up to 35 lbs.
Occasional stress related to workload and patient demands.
Environmental Working Conditions:
Office environment with a moderate level of exposure to communicable illnesses such as the flu.
Fast-paced work requiring a high degree of accuracy and attention to detail.
Use of office equipment like keyboards, calculators, fax machines, and copiers.
Standard Qualifications:
Education: High School Diploma or equivalent required.
Experience: At least one year of office experience, with preference given to candidates with medical records experience.
Skills: Knowledge of medical terminology and experience with medical software and office equipment is desirable.
Computer Skills: Strong typing and computer skills with high accuracy.
