Job Description
This role supports the day-to-day internal operations of the agency with an emphasis on tools/systems (Airtable, HubSpot, Harvest, Slack, and Google Workspace), project coordination, internal scheduling, and supporting the execution of culture and onboarding strategies. You’ll play a key role in maintaining agency momentum and ensuring smooth backend operations that empower our team and clients.
Key Responsibilities:
Manage Airtable project trackers, templates, interface setup, and internal SOPs.
Update and organize records in HubSpot CRM.
Support onboarding of new hires, including internal comms, logistics, and scheduling.
Coordinate internal calendars, scheduling for leadership, and client events.
Assist in the implementation of internal culture initiatives (e.g., team check-ins, recognition systems)
Support the executive team with follow-ups, research, and documentation as requested.
Use AI tools to streamline task automation and internal documentation.
Community and Stakeholder Engagement

Requirements
2+ years of experience in administrative support, operations coordination, or project management
Familiarity with Airtable and HubSpot (or similar project management/CRM tools)
Strong organizational skills and attention to detail
Ability to manage multiple tasks and prioritize deadlines independently
Proficiency with Google Workspace (Docs, Sheets, Calendar)
Clear written and verbal communication skills
Comfortable learning and using AI tools to improve workflows (e.g., ChatGPT, Grammarly)
Experience scheduling meetings, supporting onboarding, and maintaining digital files
Nice to have:
Prior Community and Stakeholder Engagement Expierence
Executive Assistant with Business Operations responsibility

This is a part-time contractor role estimated at approximately 15 hours per week. Availability during standard business hours (9:00 AM – 5:00 PM EST) is required to support team and client needs. Hourly rate and potential for increased hours may vary based on experience, demonstrated skill level, and project demands.
