Job Description
We are seeking an experienced Administrative Assistant to play a critical role in supporting project coordination and customer service operations. This position partners closely with cross-functional departments, including Sales, Design, Product Development, and Production, to ensure the seamless delivery of exceptional customer experiences. The ideal candidate brings strong administrative capabilities, a team-centric mindset, and thrives in a dynamic mid-sized company where adaptability, initiative, and communication are paramount.
Key Responsibilities:
Act as a liaison between sales, design, logistics, and production teams to ensure smooth execution of customer projects and requests.
Provide executive-level administrative support to senior leadership, including meeting coordination and preparation of materials.
Support order management processes by entering orders, tracking progress, resolving allocation issues, and following up with internal stakeholders.
Coordinate logistics and production schedules, ensuring timely order fulfillment and resolution of any shipment concerns.
Lead trade show support efforts, including packing, shipping arrangements, and maintenance of promotional materials.
Deliver top-tier customer service, proactively communicating with clients to meet deadlines and address inquiries.
Qualifications, Skills, and Experience:
Minimum 3 years of administrative experience, preferably supporting sales, operations, or cross-functional teams.
Exceptional communication and interpersonal skills, with the ability to build relationships across all organizational levels.
Highly organized and detail-oriented, capable of managing multiple priorities and meeting deadlines with minimal supervision.
Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint; experience in creating professional presentations.
Self-starter with strong problem-solving skills, professional discretion, and a proactive approach to process improvement.
Physical capability to lift and move boxes up to 25 lbs. and manage occasional logistics tasks for events or operational needs.
