Basic Function
This position is responsible for the overall revision coordination of controlled documents within the site for the Circular and Low Carbon Solutions (CLCS) manufacturing facility located in Houston, Texas. The position will ensure the site’s Process Safety Information (PSI), including engineering records, equipment files, procedures, Piping and Instrumentation Diagrams (P&IDs), Process Flow Diagrams (PFDs), Plot Plans, Area Classification Drawings, Electrical One-Line Diagrams, HAZCOM information, results from any preliminary hazard analysis, any required Material Safety Data Sheets (MSDSs), and other documentation related to the scope of an MOC and/or Project are properly controlled. This position will also support the legacy operations at the Houston Refinery that will continue post closure. The future incumbent will play an important role in ensuring a smooth transition following the cessation of processing crude oil and overseeing our Oil Movements, Wastewater and Utilities operations.
Roles & Responsibilities
Maintain and administer work processes as specified in active standards and procedures for proper execution of Document Control functions as specified by site procedures work practices, and corporate Records Retention Management procedure.
Perform Document Control functions within the site’s Electronic Document Management System (EDMS) administrative functions include: management of users, permissions, and workflows.
Document movements In/Out of the site EDMS, and project document movements In/Out the Project EDMS
Manage equipment files.
Maintain list of Capital Projects and Outages/Small Projects and Design/Document Control procedures.
Routing of new/existing piping line numbers to SAP administrator for creation of Equipment Identification Numbers (EQIDs).
Update Master Procedure Register (MPR), Piping and Instrumentation Diagrams (P&ID) Index, Track Intelex Action Item status.
Support Project Managers, 3rd parties, Outages, Small Projects and Design, Global Projects Execution, Global Turnarounds Execution via the user Request for Information (RFI) mailbox, processing documentation updates, and MOC and project completions.
Support large document printing and/or scanning needs
Audit files periodically and ensure project final deliverables meet LyondellBasell’s procedures and standards and investigate and respond to corrective action needs for all Document Control functions.
Manage MOC documents, MOC Workflows created for MEC work, MOC closure, MOC extensions,
expedite Responsible Person (RP) to provide necessary documents for MOC, and ensure Engineering Records PSI documentation is correctly updated and archived for completed projects, documentation and As Built Drawings.
Continuously assess and improve work processes to enhance efficiency and effectiveness throughout the commissioning and start-up phase.
Min. Qualifications
High school diploma or GED equivalency
1-3 years previous experience working with manufacturing or project management documentation
Collaborative team player with strong interpersonal skills
Effective time management to support the ability to deliver within strict timelines
Strong verbal and written communication skills
Must be able to complete assigned tasks independently with minimal instruction and have the initiative to obtain guidance on new assignments when needed
Solid analytical and problem solving skills
Advanced ability with various computer systems and experience using Microsoft Word and one or more Electronic Document Management Systems (EDMS), Adobe, AutoCAD
Preferred Qualifications
College education and/or degree
3+ years' experience in a Document Control role
Livelink and SharePoint experience
General project management process and process safety knowledge
