Were looking for a Proposal Coordinator to help us craft clear, consistent, and thoughtful client-facing documents. This position is available only for candidates residing in the U.S. Therefore, only candidates in this location will be considered for the role.

What you'll do:

Create clear, aligned, and risk-aware client documentation:

Draft and revise Statements of Work (SOWs), RFP responses, and other sales documents.

Ensure all documents reflect client needs, ITXs brand and legal standards, and our value propositions.

Translate technical or complex ideas into language thats easy for clients to understand.

Use precise, thoughtful language to help align expectations and ensure a shared understanding before any deal is finalized.

Provide redlines and feedback during reviews and negotiations.

Maintain quality, compliance, and smooth workflows:

Ensure all client-facing sales documents meet legal and regulatory standards and reduce risk.

Guide documents through internal reviews and approvals with the right stakeholders.

Keep thorough records of contracts, version history, and related documentation.

Track contract renewal dates and support updates or renegotiation efforts proactively.

Support process improvement and content management:

Help manage and evolve our centralized library of contract templates and approved content.

Work closely with Sales, Legal, Marketing, and Technical teams to align and improve document-related processes.

Look for ways to improve efficiency, consistency, and clarity in how we manage and create sales documentation.

Enable and support internal teams:

Act as a go-to resource for internal teams when it comes to client-facing sales documents.

Provide guidance on how to use templates and follow internal contract practices.

Respond to questions and support multiple projects with documentation needs across departments.

What Were Looking For:

Associates degree or higher in Business Administration, Communications, English, or a related field.

03 years of experience writing client-facing documents (SOWs, RFPs, proposals, etc.).

Exceptional attention to detail and a knack for spotting risks or inconsistencies.

Strong written communication skills and a collaborative spirit.

Comfortable managing multiple projects and deadlines at once.

Proficiency with Microsoft Office tools (Word, Excel, PowerPoint).

Bonus points if youve worked with document templates or content libraries before.

In Rochester, N.Y., home to ITXs headquarters, the pay range for a Proposal Coordinator role is$50,000to $63,000, depending on experience, specific skills and certifications, and education. Based on your location in the United States if you are in a place where the market for your role is higher or lower, this pay range could be 5% lower or 8% higher than the Rochester, N.Y. market.
