Job Description
Our West Hollywood client is looking for a detail-oriented Administrative Assistant to support their accounting team. You will be part of a six-person team, and we are looking for someone who has some exposure to the clerical side of accounting. This role involves supporting the accounting department with a variety of tasks, both administrative and financial, while ensuring smooth day-to-day operations. This is a contract to hire position, and this role is ideal for someone who thrives in a collaborative yet independent work environment.
Responsibilities:
• Organize and maintain both electronic and physical filing systems to ensure efficient record-keeping.
• Perform routine administrative tasks such as copying, scanning, and filing documents.
• Update and maintain project tracking spreadsheets and data records.
• Assist with light accounts payable processing and maintain accurate records.
• Reconcile bank statements to ensure financial accuracy.
• Enter data for expense reports and verify for completeness.
• Collate, distribute, and manage incoming and outgoing mail efficiently.
• Support year-end tax data entry and processing tasks as needed.• Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
• Strong data entry skills with a high level of accuracy and attention to detail.
• Excellent customer service and communication skills, both written and verbal.
• Ability to handle inbound and outbound calls with a strong focus on detail.
• Experience in scheduling appointments and managing calendars effectively.
• Ability to work independently as well as part of a team.
• Familiarity with basic accounting tasks, such as bank reconciliations and accounts payable, is a plus.
