WHY DO WE NEED YOU?
The Office Coordinator plays a key role in supporting both the On-Site and Divisional Leadership Teams by ensuring smooth day-to-day office operations. This position is responsible for managing administrative tasks, coordinating meetings and events, supporting employee engagement initiatives, and assisting with special projects. The ideal candidate is organized, proactive, and capable of handling multiple priorities in a dynamic environment.
Key Responsibilities :
Administrative & Office Support
Serve as the first point of contact by greeting and directing visitors.
Manage the visitor calendar and coordinate logistics for site visits.
Prepare meeting rooms and ensure all materials and equipment are ready.
Draft and distribute internal communications and notifications.
Order and maintain office supplies and inventory.
Leadership & Project Support
Assist Divisional Leadership with meeting logistics, employee recognition efforts, and special events.
Organize meals and catering for site functions, leadership meetings, and guest visits.
Support the Leadership Team with document preparation, data entry, filing, and other administrative tasks.
Coordinate interviews between candidates, hiring managers, and HR.
Employee Engagement & Communication
Support employee engagement initiatives and assist in planning internal events.
Maintain on-site communication platforms such as digital displays and bulletin boards.
Identify and coordinate community involvement opportunities for the site.
Safety & Compliance
Promote a safe working environment by adhering to safety protocols and PPE requirements.
Participate in departmental safety meetings and initiatives.
IS THIS JOB FOR YOU?
Qualifications
High school diploma or equivalent; associate or bachelor’s degree preferred.
2+ years of experience in an administrative or office coordination role.
Strong organizational and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and Canva.
Ability to work independently and collaboratively in a fast-paced environment.
