Position Overview:

We are seeking a reliable and highly organized Scheduler & Central Supply Coordinator to join our skilled nursing facility. This vital position ensures our facility remains well-staffed and well-stocked by managing nursing schedules and coordinating medical supplies. The ideal candidate will have strong scheduling experience, an understanding of medical terminology, and a proactive approach to both staffing and inventory needs. This positin requires prior scheduling experience.

Key Responsibilities:

Staff Scheduling:

Develop and post nursing staff schedules at least two weeks in advance

Modify schedules as needed, contact staff for replacements, and track time-off requests

Coordinate closely with the Director of Nursing to ensure coverage compliance

Notify DON of short-staffed situations and maintain call-in and attendance records

Generate reports on missed shifts and scheduling trends

Understand and apply overtime and labor regulations

Central Supply Management:

· Order, receive, label, stock, and distribute all supplies necessary for resident care and safety

· Verify incoming shipments against packing slips and store merchandise appropriately

· Maintain clean, organized storage areas and resident-use equipment

· Track inventory levels and avoid shortages through proactive supply ordering

· Complete monthly spend-downs and related documentation accurately

· Use computer systems to enter data, generate reports, and manage supply orders

· Must be able to lift and carry up to 40 pounds regularly

· Requires frequent bending, reaching, lifting, pushing, and pulling of carts and supply items

· Ability to stand and walk for extended periods during shift

· Follows all safety guidelines and facility procedures for lifting and material handling

Qualifications:

High school diploma or equivalent required; CNA certification preferred

Minimum one year of experience in long-term care or healthcare supply management

Experience with scheduling software and computer applications (spreadsheets, word processing)

Knowledge of medical and nursing terminology

Strong organizational, communication, and problem-solving skills

Ability to work independently and prioritize tasks in a fast-paced environment

Skills & Abilities:

Excellent interpersonal skills and the ability to communicate with residents, staff, and vendors

Strong attention to detail and accuracy in scheduling and documentation

Skilled in motivating and coordinating a workforce

Knowledge of HIPAA and resident privacy regulations

Able to read, comprehend, and follow written instructions and policy guidelines
