Job Description
Position Purpose:
As an Administrative Assistant to the Inside Sales Team at Steeltech, you will provide critical administrative support to ensure the sales department runs efficiently. You will assist with daily administrative tasks, customer communication management, and sales process documentation, allowing the sales team to focus on building relationships and closing deals. Your organizational skills and attention to detail will contribute significantly to the team's overall success and customer satisfaction.
Essential Duties and Responsibilities:
1. Document Management: Process, organize, and maintain sales documents, contracts, and correspondence through filing, scanning, and digital archiving.
2. Customer Communication Support: Log incoming customer calls, route messages to appropriate sales team members, and follow up on communication as directed.
3. Sales Activity Tracking: Record sales activities, maintain the CRM database, and prepare regular reports on sales metrics and activities.
4. Quote Administration: Assist in the preparation and submission of sales quotes, ensuring all required information is included and properly documented.
5. Correspondence Management: Draft and proofread routine business correspondence, including emails, letters, and promotional materials.
6. Office Support: Maintain general email to ensure all RFQ and Purchase Orders are received and entered in the beginning state. Manage general administrative tasks.
7. Reports: Receive, monitor and maintain reports for meetings and performance status.
8. Shipping: Help to find carrier and ship products which include invoicing, BOL and packing list. Ensuring all paperwork goes to the correct personnel.
9. Special Projects: Assist with special projects, sales events, and initiatives as assigned by management.
Qualifications:
1. High school diploma required; Associate's degree in Business Administration or related field preferred
2. 1-2 years of administrative experience in a business environment
3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
4. Experience with ERP systems; knowledge of Odyssey ERP Software a plus
5. Excellent organizational skills with strong attention to detail
6. Ability to prioritize tasks and manage time effectively in a fast-paced environment
7. Strong written and verbal communication skills
8. Basic understanding of sales processes and customer service principles
9. Ability to maintain confidentiality with sensitive business information
10. Professional demeanor and positive attitude when interacting with team members and customers
