As we continue to grow and expand our operations, we are seeking a skilled and motivated Administrative Coordinator to join our Administrative Team. The ideal candidate will play a crucial role in the office environment, and daily operations, supporting the organization at an entry level position with a great potential for growth.
JOB OVERVIEW
The Auritas Senior Administrative Assistant will help the organization to create and execute schedules, manage company assets, greet, and communicate with staff and guests, and maintain effective workflow in the office. The Sr. Administrative Assistant also takes on many other duties regularly associated with office management, including filing, faxing, creating memos and reports, and performing other clerical duties.
RESPONSABILITIES & DUTIES
CONTRACTS
Draft new subcontractors’ contracts when requested.
Revise and send expiring SOW’s – follow up on executed documents.
Maintain spreadsheet updated.
PROJECTS
Review SOW and create projects in Mavenlink.
Onboard new members
ACCOUNTS PAYABLE
Assist Finance Specialist with invoicing review and other tasks.
EXPENSES
Process monthly expenses
Review and Update charges on Divvy portal – request marketing invoices and approvals
Issue Divvy cards/funds as needed.
TRAVEL
Book airfare and hotel accommodation when requested – send confirmations and update CC log, Divvy and TripIt.
NEW HIRES
Assign laptop and assist IT with remote configuration – Create asset form - Box and ship laptop if necessary.
Complete onboarding checklist
Complete Timesheets and Vendor orientation for all new hires
Add new hires to Mavenlink to submit time.
