About the Role

The Executive Assistant to the Group CEO will be a key partner in managing the daily operations and priorities of the executive office. We seek a highly detail-oriented professional who thrives in a dynamic, fast-paced environment that is both mission-driven and people-focused. The ideal candidate is both strategic and hands-on, exercises sound judgment across a variety of situations, and demonstrates exceptional communication, organizational, and administrative skills. This role requires the ability to effectively manage multiple priorities while maintaining a proactive and solutions-oriented mindset.

About The Candidate

The ideal candidate should possess excellent communication skills, both written and verbal, along with the ability to demonstrate sound judgment in fast-paced and often ambiguous environments. They must be able to anticipate the CEO’s needs, prioritize competing demands, and act as a strategic partner in managing time and resources. Strong attention to detail, a high degree of professionalism, and the capability to build relationships across all levels of the organization are essential. Ultimately, the need calls for someone who can serve as a trusted extension of the CEO, ensuring seamless operations and enabling the executive to focus on the company’s most critical initiatives. This role allows for opportunity to grow into positions of increased responsibility.

Key Responsibilities

Expertly manage and prioritize the CEO’s complex and demanding calendar, serving as a strategic gatekeeper and steward of their time.

Communicate clearly and professionally on behalf of the CEO, crafting well-written emails, messages, and materials that reflect the CEO’s voice and uphold the company’s standards.

Review, evaluate, and respond to internal and external scheduling requests, ensuring alignment with organizational priorities and the CEO’s goals.

Partner closely with the executive support team and senior leadership to coordinate meetings, agendas, logistics, and last-minute changes.

Serve as a trusted advisor and confidant, keeping the CEO well-informed and supporting thoughtful, timely decision-making.

Handle sensitive and confidential information with utmost discretion, professionalism, and integrity.

Build strong relationships with key internal stakeholders to foster smooth communication and collaboration.

Support company-wide initiatives, including all-hands meetings, internal events, and offsites—managing logistics, and budgets.

Play a key role in board meeting preparation, including agenda development, material collation, and timely distribution.

Coordinate seamless travel arrangements, including flights, ground transportation, lodging, and detailed itineraries.

Comfortable working and supporting the CEO across two offices.

Skills, Knowledge and Expertise

3 - 5+ years of experience supporting C-level executives or senior leadership, with a clear track record of handling high-stakes responsibilities.

Proficient in Microsoft Office Suite, calendar platforms (e.g., Outlook, Google Calendar), video conferencing tools, and project management systems.

Demonstrated excellence in written and verbal communication, including email drafting, presentation support, and internal/external correspondence.

Proficiency with modern productivity tools (e.g., Microsoft Office, Google Workspace, Zoom, Slack, expense systems, travel platforms).

Evidence of handling confidential information, executive-level decision-making processes, and sensitive communications with integrity.

Well-versed in the dynamics of the NYC business environment.
